The Receptionist / Administrative Assistant maintains a professional and consistent presence at the front desk during business hours, serving as the first point of contact for clients, visitors, and callers. This role is responsible for ensuring a polished, responsive, and discreet experience in all interactions.
Day-to-day responsibilities include managing incoming calls, coordinating conference room scheduling, and supporting meetings and visitor logistics. This involves preparing conference rooms, coordinating refreshments, entering guests into building security systems, and ensuring all meeting-related requests are properly tracked and executed. The role also serves as a liaison with building management, handling maintenance requests, access credentials, and general facility-related needs. In addition, the position oversees incoming packages and mail, including logging, distribution, and basic processing as needed.
Beyond front desk responsibilities, the role provides administrative support to the firm’s administrative team. This includes assisting with scheduling, coordinating internal meetings and events, supporting onboarding logistics, maintaining contact information and directories, and contributing to firmwide initiatives and projects. The position may also assist with time entry, expense coordination, and other general administrative needs.
The role also supports day-to-day office operations, including monitoring and maintaining shared spaces, supplies, and vendor coordination. This requires the ability to move fluidly between client-facing responsibilities and operational tasks throughout the day.
Success in this position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The individual must exercise sound judgment, maintain confidentiality, and communicate effectively across all levels of the firm while consistently following established procedures.
- College degree preferred or equivalent professional experience.
- Minimum of 2–4 years of experience in a receptionist, administrative assistant, or similar role, preferably within a law firm or professional services environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and scheduling/communication tools.
- Strong organizational skills with the ability to manage multiple responsibilities and competing priorities throughout the day.
- Excellent oral and written communication skills, with a polished and professional demeanor.
- Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Detail-oriented with a high level of accuracy and follow-through.
- Ability to work collaboratively across departments and provide administrative support to multiple stakeholders.
