What We Offer
~1 min readOur client, a leading plaintiff-side personal injury litigation law firm in New York City, is seeking a polished, articulate, compassionate, and highly organized Receptionist to serve as the first point of contact for clients, visitors, and callers. This is a full-time role, onsite five days a week, paying an annual base salary of $60K to $70K plus a performance base bonus and excellent benefits package. The hours for this role will be 10AM to 6pm ET.
This individual will be the face and voice of the firm, responsible for creating a professional and welcoming experience for clients while maintaining the highest standards of customer service.
The ideal candidate possesses exceptional communication skills, emotional intelligence, strong attention to detail, and a naturally warm and professional demeanor. Because many clients are navigating difficult personal circumstances, the ability to interact with empathy, patience, and professionalism is essential.
Responsibilities
~1 min read- →Greet clients, visitors, and vendors with professionalism, warmth, and courtesy.
- →Answer, screen, and direct incoming telephone calls in a polished and articulate manner.
- →Serve as the first point of contact for prospective and existing clients, ensuring an exceptional client experience.
- →Communicate with empathy and sensitivity when interacting with clients facing challenging circumstances.
- →Maintain a professional reception area and ensure conference rooms are prepared for meetings and client visits.
- →Coordinate conference room scheduling and visitor logistics.
- →Receive, sort, and distribute incoming mail, packages, and deliveries.
- →Prepare outgoing mail and coordinate messenger and overnight deliveries.
- →Scan, file, and organize documents and correspondence.
- →Provide administrative support to attorneys and support staff as needed.
- →Maintain office supply inventory and coordinate replenishment.
- →Handle confidential and sensitive information with discretion and professionalism.
- →Assist with special projects and additional administrative duties as assigned.
Requirements
~1 min read- 3 years of receptionist, front desk, administrative assistant, hospitality, or customer service experience.
- Prior law firm, healthcare, professional services, luxury hospitality, or other client-facing office experience preferred.
- Exceptional verbal and written communication skills.
- Polished, articulate, and professional presentation with excellent interpersonal skills.
- Demonstrated ability to communicate confidently and professionally with clients, attorneys, executives, and visitors.
- Strong customer service orientation and commitment to providing a first-class client experience.
- Proven ability to interact with clients in a compassionate, patient, and empathetic manner.
- Excellent organizational skills and attention to detail.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Proficiency with Microsoft Outlook, Word, and other Microsoft Office applications.
- Dependable, punctual, and team-oriented.
