This versatile professional serves as the primary operational partner to the US President, with secondary support to the senior leadership team. The role blends high-level executive administrative support with ownership of corporate communications and requires an exceptional writer who is technologically adept, highly organized, and effective in a fast-paced, confidential environment.

  • Serve as the primary point of operational and administrative support for the US President, with secondary support to other senior leaders; proactively anticipate executive needs, manage competing priorities, and ensure timely follow-through.
  • Manage complex, multi-time-zone executive calendars, travel arrangements, and meeting logistics for the US President and senior leadership team, including prioritization of competing requests.
  • Draft and finalize executive correspondence, announcements, presentations, and other communications for internal and external audiences.
  • Partner closely with the US President to craft clear, professional, and compelling communications that support business initiatives, priorities, and goals.
  • Build, maintain, and serve as the central point of contact for management-level presentations and related communication materials.
  • Track project milestones, action items, and commitments across executive-sponsored initiatives, ensuring timely updates and follow-up.
  • Support preparation and execution of management meetings, leadership meetings, external engagements, and corporate events.
  • Coordinate conference room scheduling, readiness, audiovisual setup, catering, materials, and other logistics for leadership meetings and corporate events.
  • Foster cross-functional collaboration with internal teams and external partners.
  • Manage multiple projects across internal departments, prioritize effectively, and meet deadlines.
  • Perform additional duties and tasks as needed or requested by management.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent experience.
  • Minimum of 5+ years of experience in corporate communications, executive administrative support, or a related role.
  • Strong executive administrative capabilities, including calendar management, meeting coordination, travel planning, logistics, and follow-through.
  • Strong time management, organizational, documentation, and prioritization skills, with a focus on execution.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Experience with graphic design tools such as Canva, Adobe Photoshop, or similar platforms is a plus.
  • Exceptional written and verbal communication skills, with experience creating executive correspondence, presentations, employee communications, newsletters, website content, and social media content.
  • Demonstrated ability to balance strategic initiatives with day-to-day administrative responsibilities.
  • High degree of discretion, integrity, professional judgment, and confidentiality.
  • Stakeholder management – Ability to create buy-in from numerous departments and manage change.
  • Extremely detail orientated – ensures accurate, and timely data.
  • Problem Solving and Decision Making – ensure leadership team is developed and empowered to identify and analyze problems, explore various alternatives, and use sound business judgment to take decisive action.
  • Communication skills – strong communication, written and spoken.
  • Interpersonal Relationships and Influence – builds relationships and appropriately uses influence to get things done, while also gaining the trust of your team and colleagues across the business
