JOB SUMMARY:
The Medical Assistant / Front Office Coordinator serves as a versatile member of the Ashe Orthopaedics & Sports Medicine team by providing both clinical and administrative support. This position is responsible for delivering excellent patient care while ensuring efficient front office operations. Responsibilities include assisting providers with patient care, coordinating patient flow, scheduling appointments, maintaining medical records, verifying insurance, processing referrals and authorizations, answering telephones, and providing exceptional customer service throughout the patient experience.
MINIMUM JOB QUAILIFICATIONS
Education:
- High School Diploma or equivalent
Experience:
- Prior medical office experience preferred.
- 2+ years' administrative experience.
- Familiarity with medical and insurance legislation.
- Proficiency in healthcare operations.
License/certifications:
- Completion of a Medical Office Assistant, Registered Medical Assistant, or Certified Medical Assistant program, or equivalent training preferred.
- Previous CMA/RMA experience preferred.
ESSENTIAL FUNCTIONS:
Clinical:
- Obtain and accurately document patient vital signs, medical history, and visit information.
- Prepare examination rooms and patients for provider evaluation.
- Assist physicians with examinations, procedures, casting, splinting, fracture care, injections, aspirations, and brace application.
- Apply orthopedic braces, casts, and splints as directed.
- Collect and process laboratory specimens.
- Prepare instruments for cleaning and sterilization.
- Maintain exam rooms, treatment areas, and laboratory records.
- Monitor medication expiration dates and maintain clinical inventory.
- Order medical supplies and manage orthopedic inventory.
- Coordinate diagnostic imaging and obtain outside medical records before appointments.
- Assist with patient transfers when needed.
- Educate patients regarding procedures, treatments, and follow-up care.
- Communicate with patients by telephone regarding physician instructions and test results within scope of practice.
Receptionist:
- Greet patients professionally and provide outstanding customer service.
- Check patients in and out while verifying demographic and insurance information.
- Schedule, reschedule, and coordinate appointments, referrals, imaging, and surgeries.
- Complete surgery authorizations, pre-certifications, and referral processing.
- Answer incoming telephone calls, route messages, and respond appropriately.
- Scan and maintain electronic medical records.
- Verify insurance benefits and assist with claim processing.
- Accurately post charges, collect payments, balance cash drawers, and prepare deposits.
- Assist with billing questions and communicate payment issues to patients.
- Generate reports, retrieve medical records, and support documentation requests.
- Assist with outgoing referrals and coordination of specialty services.
Must be willing to receive all required vaccinations (i.e., flu shot, etc.). All new employees working must be fully vaccinated as a condition of employment (unless the new hire has requested and received an exemption).
