As a member of our Facilities Team, you are a critical and key component in supporting daily operations within a fast-moving environment. As a Facility Coordinator, you’ll support day-to-day operations and ensure a high level of service delivery by handling a wide range of administrative and coordination tasks.

 

Responsibilities

  • Maintain organized records of departmental policies, procedures, and documentation within Facilities database
  • Coordinate communication with clients, contractors, vendors, and internal teams
  • Assist with planning and coordination of vendor services and equipment repairs
  • Monitor work order status and provide updates to stakeholders
  • Follow up with clients – both internal and external, to ensure service satisfaction
  • Support vendor management: request quotes, track work orders, review proposals, process invoices and maintain compliance documentation
  • Help track departmental budgets and process billing and payments on time
  • Track and monitor construction project budgets
  • Works with management to maintain lease documentation and track lease activity
  • Coordinate annual service contracts for facility vendors
  • Support the development and reporting of key performance indicators (KPIs)
  • Prepare internal reports and presentations for leadership
  • Assist with compliance documentation, including ISO 14001 and ISO 45001
  • Have the flexibility to adjust with dynamic business priorities
  • Ensures safety standards are followed by vendors throughout Axon’s facilities
  • Prioritize project work to meet Facilities team project deadlines
  • Complete work in accordance with Axon standard operating procedures and policies
  • Observe and promote safety and risk management in accordance with local, federal, state, and company rules and regulations
  • Foster a positive, active and collaborative relationship with all employees/departments, always maintain a professional demeanor and appearance
  • Performs other maintenance duties as assigned

 

  • Experienced in administrative or office coordination roles (facilities background a plus, but not required)
  • A strong communicator — written and verbal — who’s comfortable working with multiple stakeholders
  • Tech-savvy and proficient in Microsoft Office / Google Suites (especially Excel, Outlook, Word and Google counterparts)
  • Detail-oriented, organized, and able to prioritize multiple projects
  • A proactive team player who takes initiative and follows through
  • High School Diploma or higher achievement required
  • Two or more years of facilities experience
  • General mechanical aptitude
  • Excellent customer service
  • Positive, cohesive attitude
  • Own it by being committed, acting, and seeing your work through completion
  • Five or more years of progressively responsible experience in varied building project coordinator/management roles.
  • Outstanding customer service skills required
  • Must possess excellent time management skills and be adaptable to change
  • Strong attention to detail and focus on quality and accuracy
  • Ability to prioritize and plan work activities and work within deadlines
  • Win right and never compromise the team’s integrity
