Together, the combined firm offers expanded capabilities across industries and end-to-end project delivery—from early-stage strategy through execution and beyond.

Our Life Sciences team supports clients in delivering highly complex laboratory, research, and biotech environments. This role will provide onsite administrative support for a major life sciences client, helping ensure efficient project operations, communication, and coordination across project teams.

As an Administrative Assistant, you will provide critical administrative and operational support to the client team and PMA project leadership. You will help coordinate meetings, maintain project documentation, support team communications, and ensure day-to-day administrative needs are handled efficiently.

This is an onsite role based in San Francisco, CA.

  • Provide administrative support to the client team, including calendar management, meeting coordination, and event support

  • Coordinate meetings, agendas, materials, and follow-up items to support effective team collaboration

  • Maintain organized filing systems, project records, and administrative documentation

  • Prepare, format, and distribute documents, reports, PDFs, and other project-related materials

  • Coordinate deliveries, office requests, and administrative logistics to support daily operations

  • Maintain and update master project directories and team information

  • Generate, organize, and distribute project documents and communications to internal and external stakeholders

  • Support project setup activities, including coordination with office staff and Corporate Finance

  • Assist with reviewing project billing terms, assembling invoices, and coordinating invoice distribution

  • Support onboarding and offboarding activities for project team members

  • Manage multiple priorities and deadlines while maintaining accuracy and attention to detail

  • Take initiative on routine tasks and proactively identify opportunities to support the team

  • Assist with special projects and administrative initiatives as needed

  • Collaborate with the broader Administrative team to support shared projects, questions, and deadlines

  • Administrative support experience in a professional office environment

  • Strong organizational skills with the ability to manage multiple priorities and deadlines

  • Excellent attention to detail and ability to maintain accurate documentation

  • Strong written and verbal communication skills

  • Ability to work independently, take initiative, and proactively manage responsibilities

  • Comfortable supporting senior leaders, clients, and project teams

  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint

  • Experience coordinating meetings, events, and administrative processes

  • Ability to maintain confidentiality and handle sensitive information with professionalism

  • Experience supporting real estate, construction, life sciences, or professional services teams is a plus

This role's target base annual salary range is currently $65,000-$90,000 Pay scales are determined by role, level, location, and alignment with market data. Individual pay is determined through interviews and an assessment of several factors unique to each candidate, including, but not limited to, job-related skills, relevant education, experience, certifications, candidate abilities, and pay relative to other team members.
