About the Role
We are seeking a highly organised, proactive, and detail-oriented Executive Assistant to support the Managing Director of Property Management and the leadership team. This is more than a traditional EA role. You'll become a trusted right-hand partner, helping manage priorities, improve workflows, coordinate key business activities, and support financial reporting processes that drive business decisions.

Key Responsibilities
Executive Support:
- Manage complex calendars, meetings, appointments, and travel arrangements.
- Prepare meeting agendas, reports, presentations, and executive briefing materials.
- Draft and manage professional correspondence, emails, and internal communications.
- Coordinate with accountants, advisors, suppliers, and external stakeholders.
- Manage expense claims and credit card reconciliations.
- Support executive priorities and ensure deadlines and commitments are effectively managed.
- Handle administrative tasks, document preparation, and business support activities.
Finance Reporting & Administration:
- Maintain and update recurring financial reports and KPI dashboards.
- Support month-end reporting activities and board reporting preparation.
- Manage revenue and expense tracking spreadsheets and reporting templates.
- Assist with CRM administration and data management.
- Ensure business information and financial data remain accurate, organised, and accessible.
- Help identify opportunities to improve reporting efficiency and automate repetitive tasks.
Process Improvement & Coordination:
- Build and maintain systems that improve efficiency and scalability.
- Review existing workflows and recommend process improvements.
- Support cross-functional coordination across leadership, operations, and finance teams.
- Create documentation, templates, and procedures to support business operations.
- Help drive consistency and accountability across recurring administrative processes.
Other Responsibilities
- Complete additional tasks and projects as assigned by leadership.
- Maintain confidentiality and professionalism in handling sensitive financial and executive information.
- Stay proactive in identifying opportunities to improve systems, reporting, and support processes.
- Contribute to a collaborative and high-performing remote team environment.
About You
- Proven experience as an Executive Assistant, Senior Administrator, Operations Coordinator, or similar role.
- Experience supporting business owners, executives, or senior leadership teams.
- Strong organisational and time management skills.
- Advanced Excel or Google Sheets skills.
- Ability to create reports, dashboards, trackers, and business documentation.
- Excellent written and verbal communication skills.
- Strong attention to detail and follow-through.
- Ability to work independently and take initiative.
- Comfortable managing multiple priorities in a fast-paced remote environment.
- Experience with HubSpot, Monday.com, or similar CRM/project management systems is highly regarded.
- Exposure to finance, bookkeeping, reporting, or accounting support is advantageous but not essential.
- Previous experience supporting Australian businesses, executives, or clients is highly regarded.
- Familiarity with Australian business practices, stakeholder communication, and working within Australian time zones will be viewed favourably.
