Responsibilities

  • Helps to maintain and set up file cabinets with employee-related items, payroll folders, and benefit information and checks that the information is on file at all times.
  • Sets up onboarding paperwork and employee files as directed by EA while purging and maintaining old files in the storage closet.
  • Checks and maintains that first aid certification, required licenses, and I-9s are current.
  • Processes routine resident billing and respond to general billing questions such as: bill reprints, tax letters and basic account inquiries.
  • Triages all resident billing inquiries to the appropriate department managers based on issue type.
  • Locates and attaches appropriate files to correspondence to be answered by the employer.
  • Escalates complex or non-routine billing discrepancies to the Executive Director.
  • Supports the preparation and distribution of late payment and collection letters.
  • Assists with collections follow-up as directed.
  • Files monthly Long Term Care insurance documents.
  • Provides daily breaks for the Director of First Impressions as well as filling in as a backup when needed. Duties include, but not limited to:
    • Welcomes visitors, family members, clients, or customers, and directs them to the proper destination.
    • Acts as a resource and problem solver for current residents, guests, family, and staff with a high level of customer service skills.
    • Answers telephone calls and direct calls. Take accurate messages.
    • Monitors emergency call lights and alarms. Respond appropriately.
  • Qualifications:
  • Must be at least eighteen (18) years or older, per Title 22 requirements
  • Prior administrative experience preferred but not required – we will train the right candidate!
  • Strong verbal and written communication skills with the ability to interact effectively with residents, families, and team members.
  • Proficient in basic computer applications such as Microsoft Office, email, and scheduling systems.
