Reporting to the Chief Commercial Officer, the Executive Assistant will utilize your exceptional organizational and communication skills to provide professional and strategic support to key members of our senior leadership team. Responsibilities will include but are not limited to managing calendars, formatting documents and presentations, arranging logistics for team meetings, coordinating travel, compiling expense reports, coordination / follow-through with legal agreements, and liaising with internal/external contacts. The role requires working both independently and collaboratively, multitasking, meeting deadlines, and handling sensitive matters.

The ideal candidate will have a passion for providing exceptional support for management, is an adaptable team player who can manage several tasks and projects independently and excels at being mindful of details in a high performance oriented, fast-paced, and growing/rapidly evolving environment.

Responsibilities

  • Provide general administrative support to Chief Commercial Officer and some members of the Commercial leadership team.
  • Manage and prioritize calendars for the key members of our senior leadership team, focusing on productivity, urgency, and stakeholder needs.
  • Arrange travel plans, coordinate “offsite” team meetings and events.
  • Keep internal filing system/folders organized and updated.
  • Organize team meetings including reserving meeting space, hotel, and other logistics.
  • Prepare and submit expense reports for executives according to company policies and procedures.
  • Ensure seamless coordination and follow-up throughout the vendor/consultant contract process, including overseeing the timely routing of documents for signatures, tracking each document to ensure prompt return, verifying the accuracy of all returned documents, and saving them in their designated storage locations.
  • Maintain confidentiality and discretion in handling sensitive information and communications.
  • Assist in the development and organization of support materials for meetings and conferences (e.g. slide decks, presentations, meeting materials, etc.).
  • Assist with the coordination and execution of special projects and initiatives as directed by our senior leaders.
  • Assist with the purchase order process including submission and ensuring appropriate approvals are secured.
  • Lead onboarding process for new hires.
  • Understanding and educating team members on company policies (i.e. meal limits, hotel price caps etc.).
  • Other duties as assigned.

Requirements

  • 5-7 years of Executive Assistant experience.
  • Calendar management, meeting organization and heavy travel coordination experience.
  • Proficiency with MS Teams & MS Office (i.e. Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and DocuSign.
  • Excellent at prioritizing and executing multiple projects/tasks with tight deadlines.
  • Proven expertise in written and verbal communication, demonstrating strategic, professional, creative, and succinct communication.
  • Pro-active self-starter able to work independently, effectively problem-solve and prioritize work, anticipating needs of senior leadership.
  • Highly collaborative and able to work effectively with multiple stakeholders.
  • High level of maturity, ability to exercise good judgement, discretion and confidentiality with all tasks.
  • Able to remain organized and focused in a fast-paced, high-performance startup environment.
  • Excellent interpersonal, verbal, and written communication skills.
  • Assist with the coordination and execution of special projects and initiatives as directed by the executive team.

Nice to Have

Celcuity is a clinical-stage, publicly traded biotechnology company seeking to extend the lives of cancer patients through the development of targeted therapies for the treatment of multiple solid tumor indications. The company was founded to develop a better way to treat the cellular drivers of tumor growth.

Our lead therapeutic candidate, gedatolisib, is an intravenously administered, potential first-in-class PI3K/AKT/mTOR (PAM) pathway inhibitor. Its mechanism of action and pharmacokinetic properties are highly differentiated from other currently approved and investigational therapies that target PI3K or mTOR alone or together. Gedatolisib phase 3 clinical development programs are focused on the treatment of patients with HR+/HER2- ABC in the 1L and 2L settings. A Phase 1b/2 clinical trial evaluating gedatolisib in combination with darolutamide in patients with metastatic castration resistant prostate cancer, is on-going.

For this role, the anticipated base pay range is $100,000 – $120,000 DOE. The exact base pay offered for this role will depend on various factors, including but not limited to the candidate’s geography, qualifications, skills, and experience.

The successful candidate will be eligible for an annual performance incentive bonus and a new hire equity package. Celcuity also offers various benefits offerings, including, but not limited to, medical, dental, vision insurance, 401(k) match, PTO, and paid holidays.
