Joining the Kalgoorlie team, you will provide essential administrative support to ensure smooth day‑to‑day project delivery. You’ll work closely with our Operations and Area Managers to maintain accurate reports, registers, calendars, and documentation, while confidently liaising with clients, internal teams, contractors, and external stakeholders. As the face of the Kalgoorlie office, you’ll present professionally, uphold confidentiality, and contribute to a well‑organised, efficient, and welcoming environment.

This role is a Local Kalgoorlie 5 days on 2 days off roster, Monday to Friday with a local living and weekend on-call allowance provided.

  • Take clear and accurate meeting minutes and distribute them promptly.
  • Support the engineering team by preparing, submitting, and tracking Submittals and ROAs.
  • Oversee daily office operations by managing supplies, coordinating facilities needs, supporting onboarding, and maintaining efficient office systems and procedures
  • Provide administrative support to the Area Manager, including diary coordination and document preparation.
  • Assist the project team with general administrative tasks and document control.
  • Maintain and update project registers to ensure accurate and current records.
  • Prepare routine and ad‑hoc reports for management and project teams.
  • Enter data accurately and within required timeframes.
  • Schedule and manage calendar invitations for meetings and project activities.
  • Monitor and manage shared email inboxes, prioritising and responding to correspondence.
  • Liaise with internal teams to support communication and project delivery.
  • Perform general administrative duties as required.
  • High attention to detail, ensuring accuracy across documentation, data entry, and administrative tasks
  • Strong interpersonal skills, enabling effective communication and positive relationships with clients, internal staff, contractors, and external stakeholders
  • A collaborative team player who also works confidently and independently when required
  • Competent in Microsoft Excel for data entry, tracking, and basic reporting
  • Comfortable working in a construction project environment and adapting to shifting priorities
  • Excellent verbal and written communication skills, with a professional and confident approach
  • Demonstrates strong judgement in handling sensitive information
  • Able to obtain a Police Clearance
