A private household based in Atherton, California is seeking a highly organized and discreet career Personal Assistant to support the day-to-day operations of a busy family. This role is well-suited for a proactive professional who enjoys managing details, staying ahead of schedules, and ensuring that both household and personal logistics run seamlessly. The ideal candidates have worked mainly as a Personal or Executive Assistant rather than in a hybrid household role.

 

The ideal candidate is polished, resourceful, and comfortable operating in a fast-moving environment where priorities may shift. This individual will become a trusted point of contact for the family and will help coordinate a wide range of personal, household, and administrative matters with efficiency and discretion.

  • Prepare travel itineraries and assist with documentation such as passport renewals
  • Support packing and unpacking for trips
  • Provide occasional travel support alongside the family when required
  • Manage personal correspondence, emails, and document organization
  • Oversee bill payments, account renewals, and various personal subscriptions
  • Maintain spreadsheets and digital tracking systems (strong Excel proficiency required)
  • Organize digital files, photos, and other important records
  • Maintain and organize personal and household calendars
  • Schedule appointments, dining reservations, and personal engagements
  • Coordinate family travel including flights, accommodations, and transportation
  • Manage errands, shopping, exchanges, and household supply procurement
  • Assist with planning small gatherings, dinners, and vendor coordination
  • Help maintain smooth daily routines by anticipating household needs
  • Coordinate with property managers across multiple residences
  • Maintain household inventories and help document standard operating procedures
  • Develop and maintain relationships with service providers and vendors
  • Minimum 2+ years of experience supporting a high-profile individual, executive, or private household
  • Based in the San Francisco Bay Area
  • Strong written and verbal communication skills
  • Exceptional organization, attention to detail, and follow-through
  • Comfortable using modern productivity tools, with advanced Excel proficiency
  • Calm, professional demeanor with the ability to manage multiple priorities
  • Experience coordinating travel and supporting multiple properties is a plus
  • Non-smoker / non-vaper preferred

What We Offer

Full-time position
Monday–Friday schedule, generally 8-hour days with occasional flexibility required
Compensation: $140,000–$150,000 annually (DOE)
Healthcare stipend and paid time off included
