  • Serve as the first point of contact for employees, visitors, and external partners.
  • Manage the reception desk and ensure a professional and welcoming office environment.

  • Handle incoming and outgoing mail, courier shipments, and office correspondence.

  • Manage the shared administration mailbox and coordinate administrative requests.

  • Organize meeting room bookings and support meeting logistics, including catering arrangements and visitor coordination.

  • Order and monitor office, kitchen, and workplace supplies.

  • Coordinate with external vendors and service providers cleaning, maintenance, courier, and facility services.

  • Report and follow up on office maintenance issues and facility requests.

  • Support employees with access cards, office resources, and workplace-related inquiries.

  • Maintain records, documentation, and administrative processes.

  • Ensure a high standard of workplace experience and office operations.

    • Strong organizational and multitasking skills.

    • Excellent communication and interpersonal skills.

    • Service-oriented mindset and a proactive approach to problem-solving.

    • Ability to work independently and manage multiple priorities.

    • Attention to detail and a strong sense of ownership.

    • Good knowledge of Microsoft Office applications.

    • Fluent Polish and communicative English (minimum B2).

    • Willingness to work full-time in the office.

  • Previous experience in administration, reception, hospitality, customer service, or a similar role.
  • Experience working in an international environment.
