The Executive Assistant will provide high-level administrative and operational support to the Human Resources Leadership Team, including leaders across Human Resources, Talent Acquisition, and Learning & Development. This role is responsible for managing complex calendars, coordinating meetings and communications, and ensuring seamless day-to-day operations for the HR function. The Executive Assistant will serve as a key liaison between leadership, internal stakeholders, and external partners, maintaining confidentiality while prioritizing competing demands. Success in this role requires strong organization, attention to detail, and the ability to anticipate needs, streamline processes, and support strategic HR initiatives.
Responsibilities
~1 min read- →Provide comprehensive administrative support to HR Leadership, including Talent Acquisition and Learning & Development leaders.
- →Manage and prioritize complex calendars, scheduling meetings, interviews, and executive-level discussions across multiple stakeholders and time zones.
- →Coordinate and prepare materials for meetings, including agendas, reports, presentations, and follow-up action items.
- →Take accurate and concise meeting minutes, capturing key decisions, action items, and ownership to ensure clear follow-through.
- →Assist with travel planning as needed.
- →Serve as a central point of contact between HR leadership and internal/external stakeholders, ensuring timely and professional communication.
- →Maintain strict confidentiality of sensitive employee, business, and organizational information.
- →Track and manage key HR deliverables, deadlines, and projects to ensure alignment and execution.
- →Prepare and process expense reports, purchase requests, and vendor coordination as needed.
- →Organize and maintain digital files, reports, and documentation for easy access and compliance.
- →Identify opportunities to streamline administrative processes and improve operational efficiency within the HR function.
- →Support special projects, reporting, and ad hoc requests from HR leadership.
Requirements
~1 min read- 5+ years of experience supporting senior leaders or executives, preferably within Human Resources or a related function.
- Proven ability to manage complex calendars, coordinate across multiple stakeholders, and prioritize competing demands in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to draft clear, professional communications on behalf of leadership.
- Demonstrated experience taking detailed meeting minutes and translating discussions into actionable follow-ups.
- High level of discretion and ability to handle confidential and sensitive information with professionalism.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with collaboration tools (e.g., Teams, SharePoint).
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to anticipate needs, think proactively, and solve problems with minimal direction.
- Experience supporting HR functions such as Talent Acquisition, onboarding, or Learning & Development is preferred.
- Strong project coordination skills, with the ability to track deadlines, manage multiple priorities, and ensure timely execution.
- Professional presence with the ability to interact effectively with senior leaders and cross-functional teams.
