Do you love providing great customer service? We are seeking a friendly, professional, detail-oriented individual to join our management consulting and CPA firm in a part-time front desk and administrative role. As the first point of contact for visitors, clients and employees, you will provide exceptional client care while supporting multiple teams and helping keep our office running smoothly.

Responsibilities

  • →Greet visitors, clients and employees with a friendly, professional demeanor; maintain a welcoming, organized front desk and lobby.
  • →Answer incoming calls, direct callers appropriately and relay messages promptly.
  • →Monitor multiple shared email inboxes and incoming faxes, ensuring timely handling and routing communications to the appropriate personnel.
  • →Perform clerical tasks including data entry, photocopying, scanning, document review and filing; handle confidential information with discretion.
  • →Assist various departments with project-based administrative tasks as needed.
  • →Handle incoming and outgoing mail, packages and deliveries, including confidential or time-sensitive documents.
  • →Notify employees of guest arrivals, respond to visitor inquiries and provide basic information about the firm.
  • →Schedule and reschedule appointments, meetings, training sessions and conference rooms; maintain accurate calendars.
  • →Use office equipment and learn multiple software applications to support day-to-day operations.

Requirements

  • High school diploma or equivalent.
  • At least two years of administrative experience required; reception and phone experience preferred.
  • Excellent verbal and written communication skills and a positive, approachable attitude.
  • Strong organization, attention to detail and the ability to manage competing priorities.
  • Ability to handle sensitive client and company information with discretion and sound judgment.
  • Proficiency in Microsoft Office (Word, Excel and Outlook) preferred; ability to learn multiple software programs.
  • Familiarity with accounting or tax environments is a plus, but not required.
