We are seeking a warm, highly organized, and proactive Patient Experience & Sales Development Representative to join our team in a fractional/part-time capacity. This hybrid role sits at the absolute frontline of our patient experience, blending compassionate customer support with consultative inside sales.
You will be responsible for managing inbound inquiries, navigating a sales script to explain the immense value of a premium out-of-pocket cash practice, and executing backend scheduling loops. This position begins as a focused, part-time role (16–20 hours per week) with a set schedule. However, as we look to onboard an additional physical therapist in the coming months, this engagement features an explicit trajectory to scale into a full-time position.
Responsibilities
~1 min read- →Frontline Lead Conversion: Actively manage and intercept warm inbound leads originating from website forms, Google Maps listings, referral networks, and digital ad campaigns.
- →Consultative "Cash-Practice" Sales: Guide prospective patients through structured discovery calls using an established script. You will confidently articulate why investing out-of-pocket with our clinic yields superior health outcomes compared to insurance-restricted clinics down the street.
- →Calendar & Schedule Management: Own the practice calendar. Seamlessly book new evaluations, navigate complex patient reschedules, and keep the calendar highly optimized.
- →Retention & Package Management: Meticulously track patient drop-offs and run proactive outbound follow-up loops (via phone, email, and text) to re-engage individuals who have not completed their pre-purchased treatment sessions.
- →CRM Data Hygiene: Actively utilize, update, and manage our practice management pipeline within GoHighLevel to document patient touchpoints with pristine detail.
- →Upward Executive Support: Act as a proactive partner to the business owner. You will utilize checklist systems to keep tasks moving and confidently remind the clinical lead on key follow-ups or high-value patient requirements.
Requirements
~1 min read- Experience: 2+ years of high-call-volume experience in customer support, receptionist, or inside sales roles. Backgrounds in the fitness, wellness, boutique group studio, or medical/dental industries are highly preferred.
- Platform Literacy: Hands-on experience working inside modern CRM software (experience with GoHighLevel is a major plus).
- Software Fluency: Native comfort operating across the Google Workspace (Google Sheets, Docs, Gmail) and internal team communication channels like Slack.
- Communication Polish: Elite verbal and written English communication skills. You must possess the professional articulation required to handle delicate financial and health-related conversations with American consumers.
