Spring Health is seeking a highly organized, proactive, and service-oriented Executive Assistant to support key leaders in our New york office while helping create a seamless in-office experience for employees and visitors. This role will be a key operational presence in the SF office, while supporting two of our C-Suite executives.
This is a full-time, hybrid role based in the New York office with 3 days per week required in-person. This role will report directly to the Manager, Executive Support. Occasional travel may be required for team or company events and/or meetings.
Responsibilities
~2 min read- →Proactively support executive leaders by managing calendars, priorities, meeting preparation, and follow-up.
- →Coordinate complex scheduling across internal and external stakeholders, including interviews, leadership meetings, and cross-functional forums.
- →Prepare leaders for upcoming meetings by organizing agendas, materials, briefing notes, and relevant context in advance.
- →Track action items, deadlines, and follow-ups to ensure work moves forward and nothing falls through the cracks.
- →Serve as a trusted point of contact between leaders and internal/external stakeholders, handling communications with professionalism, discretion, and urgency.
- →Manage meeting logistics for recurring leadership forums, team meetings, onsite/offsite events, and department-wide gatherings.
- →Support the planning and execution of department All Hands meetings and other leadership forums, including agendas, materials, logistics, and follow-through.
- →Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and visas when needed.
- →Draft, proofread, and edit business documents, including emails, memos, agendas, presentations, and meeting notes.
- →Organize and maintain confidential information, documents, and team resources so they are accurate, accessible, and easy to navigate.
- →Process expenses and reimbursements in a timely and accurate manner.
- →Use AI tools thoughtfully to improve efficiency and quality across workflows, including drafting communications, summarizing meetings or materials, organizing information, preparing first drafts, and streamlining recurring tasks.
- →Help leaders stay informed by surfacing relevant context, flagging scheduling conflicts, and anticipating upcoming needs.
- →Handle changing priorities and urgent requests with sound judgment, composure, and resourcefulness.
- The leaders you support are consistently prepared, informed, and set up to use their time effectively.
- Calendars, travel, expenses, and meeting logistics are managed smoothly, with minimal conflicts or last-minute surprises.
- Stakeholders experience timely, polished, and professional communication through you.
- Meetings and leadership forums are well-organized, thoughtfully prepared, and followed up on appropriately.
- Action items, deadlines, and open loops are tracked clearly and followed through to completion.
- Confidential and sensitive information is handled with discretion, integrity, and good judgment.
- You use AI and other productivity tools responsibly to save time, improve accuracy, reduce manual work, and create more scalable support systems for the leaders and teams you support.
- You adapt quickly when priorities shift and bring calm, organization, and solutions to fast-moving situations.
- You continuously look for ways to improve processes, reduce friction, and make the team more effective.
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting executives or senior leaders.
- Ability to work from the NYC office 3 days per week and coordinate effectively with both in-person and remote executives, team members, and stakeholders.
- Exceptional organizational skills, with the ability to manage multiple priorities, deadlines, and moving pieces in a fast-paced environment.
- Strong calendar management skills, including the ability to prioritize meetings, resolve scheduling conflicts, and create more focus time for leaders.
- Excellent written and verbal communication skills, with the ability to interact professionally and confidently with stakeholders at all levels.
- Sound judgment and discretion when handling confidential, sensitive, or time-sensitive information.
- A proactive mindset, with the ability to anticipate needs, flag potential issues, and take action before being asked.
- Strong attention to detail and accuracy, especially when preparing materials, managing logistics, and maintaining information.
- Comfort using AI and productivity tools to improve efficiency, streamline workflows, draft communications, summarize information, and reduce manual work.
- Proficiency with Google Workspace, Slack, Zoom, and other collaboration or productivity tools.
- Ability to stay composed, flexible, and solutions-oriented when priorities shift or urgent needs arise.
The target base range for this position is $94,350 - $119,420 and is part of a competitive total rewards package including benefits. Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations. We review all employee pay and compensation programs annually using Radford Global Compensation Database at minimum to ensure competitive and fair pay.
