Sales Coordinator
Quick Summary
Be our boots on the ground. When a client or a Gift Concierge(GC) needs something checked, go look at it on the fulfillment floor, get an immediate update from the team,
Sugarwish is hiring a Sales Coordinator who will start right before our busiest time of the year. From late October through the holidays our corporate clients place the orders they care most about, and our Gift Concierge team cannot be in two places at once. You are the boots on the ground: when a client needs an order checked, you walk it down in our Englewood fulfillment center and come back the same day with a real answer.
You support the Gift Concierges on client communication, own quality control on branded goods before they ship, and run our Reply.io outreach. When something goes wrong you work out why, tell the right team, check whether it hit other orders first, and work with our Business Operations Manager so every fix is accounted for.
This is a hands-on, hybrid seat split between remote work and our Englewood, CO fulfillment center. We want someone technical enough to learn our tools in 2 weeks, calm enough to be the person a frustrated client talks to, and detail obsessed enough that the boxes going out have the attention to detail that delights each customer. After the holidays the role grows into year round white glove support, picking up corporate support duties alongside the Happiness Squad (our customer service team) and covering client communication when a Gift Concierge is out.
What you’ll do:
- Be our boots on the ground. When a client or a Gift Concierge(GC) needs something checked, go look at it on the fulfillment floor, get an immediate update from the team, and have that answer back the same day.
- Own quality control on branded goods: review client uploaded logos and digital assets before they go to production, proof each branded item against the right account, and spot check orders on the floor against our visual standards, so the wrong logo or a misspelled name never ships.
- Assist the Gift Concierges with client communication: draft and send the follow up, answer the question a client is waiting on, keep campaign replies moving out of the shared inbox, schedule and confirm client calls, and cover a GC who has to step out. Accounts stay with the GC.
- Be the extra resource when a GC has a question, and coordinate with our Happiness Squad on white glove needs, so a client issue never sits between the two teams.
- Troubleshoot order problems end to end: a gift that printed wrong, a recipient list that will not upload, a branding file that failed, a delivery that missed its date, a proposal that will not move to checkout. Reproduce it in the system first, then hand the developers or Billing the order number, the account, and what you have already ruled out.
- When something breaks, find out why. Work out what actually caused it, check whether earlier orders hit the same thing, and say plainly which process needs to change so it does not happen again.
- Close the loop out loud. When a fix or an automation ships, or gets dropped, tell the team what it does, which orders and clients it touches, and what we are doing about anything it does not cover. Ellen helps here, and you are the second set of eyes.
- Tell clients before they notice. When production or shipping slips, work with the Corporate Account Support Specialist so the affected clients and recipients hear the new timing from us first.
- Run Reply.io: build and manage the sequences, keep the lists and fields clean, and investigate what is landing and what is not so the next send is better than the last.
- Set up and clean up what the team needs: proposals, recipient lists, branding handoffs, reorders, quotes and order confirmations, and confirm pricing, discounts, quantities, send dates and shipping details before anything goes to production.
- Keep every account, contact, activity, and next step current in our CRM, and pull the weekly view of orders and open issues so the team starts each week knowing where everything stands.
- Work with our Business Operations Manager so every fix, credit, and reorder is accounted for, and nothing quietly falls between two systems.
- Work the holiday calendar: ship deadlines, cutoff dates, and the last week surge, with the schedule flexibility peak season demands, and represent Sugarwish well in every client conversation, by email, phone, or video.
Who you bring:
- Strong organizational and administrative skills. You can hold dozens of open orders at once, keep the details straight, and hit deadlines in a fast moving season.
- Technically confident. You learn new software quickly, work across several systems at once, and can find the bad row in a two thousand line recipient list.
- Comfortable working across phone, email, and chat at the same time without dropping details; Comfortable on the phone and on video with an unhappy client, and able to keep that conversation calm and productive.
- Experience owning a client problem end to end, including the ugly ones: what broke, what you did about it, and what the client heard from you and when.
- A problem solver who is genuinely tech savvy. Given a broken order you can work out what happened, not just that it happened, check whether it hit anything else, and explain it clearly to the person who can fix it. Comfortable in an outreach tool like Reply.io, in a CRM, and in a spreadsheet.
- A proofreader’s eye for branded work. You can hold a logo, a spelling, and a product against what the client actually ordered and spot the one that is wrong before it goes to production.
- Written communication that is short, specific, and human. No templates that read like templates.
- Reliable and self directed in a hybrid role, with the schedule flexibility peak season requires, including possibility of some evenings and weekends in December.
- Customer relationship management experience, specifically using a CRM software; 2 or more years in client support, order operations, or account coordination is a strong plus.
- Working knowledge of Google Workspace, especially Sheets for recipient lists and data cleanup.
- Familiarity with corporate gifting, ecommerce, promotional products, or order fulfillment is helpful.
