SalesSales Operations Specialist

We are seeking a Sales Operations Analyst to join a fast growing home services contractor that specializes in manufactured homes, with work spanning foundations, piers, plumbing and remodels across California, Arizona and beyond. For nearly a decade, this role has produced the daily and weekly numbers that show leadership where every marketing and sales dollar pays off and where it doesn’t. You’ll take it over, learning the role in an extended overlap with the current analyst, and then make it faster, cleaner and smarter. You’ll report to the General Business Manager and work regularly with the CEO.

  • →Daily Sales Reporting: Update sales results in the CRM as reps close out their pipelines, and keep job numbers, the leads board and the sales dashboard current. Catch and fix data entry errors, then send the daily dashboard and charts to leadership.
  • →Weekly Profit & Direct Mail Reports: Build the weekly gross profit reports and roll them into year to date results by region and sales rep. Prepare each direct mail run by updating mailing lists, ordering new addresses, confirming card quantities with the printer and auditing printer invoices.
  • →Monthly Reconciliation & ROI Analysis: Reconcile the CRM against QuickBooks so sold, canceled and changed jobs match in both systems. Run community level ROI analysis, recommend which communities to drop or add, and track KPIs against goals and prior years.
  • →CRM Administration & Data Quality: Manage forms, pipelines, dropdowns, new rep setup and light tech support. Enter change orders and upsells correctly so revenue lands in the right month, and pull clean email lists that exclude unhappy customers.
  • →Address Lists, Reviews & Vendors: Audit and grow a master address list of over 100,000 addresses, and vet new communities by satellite view. Upload completed jobs for review requests, reply to Google reviews, manage magazine vendors and work with the accountant to allocate marketing spend by region.
  • →Process Documentation & Automation: Shadow the current analyst and document every process as an SOP. Once you’ve mastered the current process, simplify manual report builds and propose automation and a live dashboard to replace copy and paste steps.
  • Advanced Excel skills, including formulas, pivot tables, conditional formatting and building reports from CRM exports.
  • CRM experience, ideally as an administrator who has built forms, pipelines and dropdowns.
  • Experience reconciling data across systems, such as CRM against accounting.
  • Comfort with gross profit, margin and ROI math.
  • Sharp attention to detail and a habit of cross checking numbers.
  • Experience developing and implementing AI systems that collect, analyze and make sense of business data.
  • Excellent written and verbal English, with a habit of documenting your work.
  • An independent, proactive mindset and comfort with a hands on, manual first phase.
  • Ability to work U.S. Pacific Time hours, with some end of day flexibility for the daily report.
  • A reliable internet connection and a dedicated home workspace.

Bonus points if you have:

  • Experience with dashboard tools such as Power BI, Looker Studio or Tableau, plus SQL.
  • Experience with automation and integration tools such as Zapier, Make or CRM to QuickBooks API connections.
  • Practical use of AI tools for analysis and automation.
  • Direct mail or marketing analytics experience.
  • A background in construction, home services or real estate.
  • Email platform experience, ideally Mailchimp.
  • Familiarity with Less Annoying CRM, RingCentral, Microsoft Teams, OneDrive or Google Business Profile.
  • Early: You run the daily report accurately with guidance and have documented the daily and weekly routines.
  • Midway: You own every recurring report and reconciliation on your own, and you flag data problems before leadership sees them.
  • By handoff: The full role is documented, and at least one manual process is simplified or automated.
  • Problem solving: You dig into issues, weigh the options, and land on practical solutions.
  • Teamwork: You work well with others and pitch in wherever the team needs support.
  • Sound judgment: You use good judgment and know when to act and when to ask.
  • Planning & organizing: You plan ahead, stay organized, and keep track of the details.
  • Professionalism: You represent the team and company well in every interaction.
  • Quality focus: You take pride in accurate, well done work.
  • Dependability: You show up, follow through, and can be counted on.
  • Ethics: You act with integrity and honesty in everything you do.
