Aspire Living & Learning is currently seeking an Administrative Coordinator. The Administrative Coordinator at Aspire Living & Learning plays a vital role in providing support to the assigned senior management team, including the Sr Director of Program Operations. The Administrative Coordinator is responsible for initiating, preparing, coordinating and following up on administrative duties associated with each director’s area of responsibility; providing supervision, direction and guidance to the administrative team; handling day to day office tasks and performing a variety of administrative duties and special projects. The Administrative Coordinator serves as the administrator for Therap.
Rate of Pay: $20.00 per hour
Shift: Monday - Friday: 8:30am - 4:30pm
Responsibilities

• Responsible for collecting, tabulating, and submission of attendance/census to funding source.
• Responsible for ordering and distribution of office supplies and other supplies as needed.
• Exercises discretion and independent judgment while fielding phone calls, responding to requests, issues, complaints, problems and other action items;
• Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information, special requests and meetings;
• Independently researches, prepares and compiles materials for the senior management team. Including meeting agendas, meeting minutes, reports, presentations and correspondence;
• Supervises the administrative assistants and receptionist/data entry staff;
• Prepares various documents integrating the work of several people (i.e., RFR’s, training manuals, presentations, policy and procedures, internal and external communication);
• Enters data state specific sites, Therap, Relias and other data bases;
• Acts as liaison with Aspire IT team;
• Administrator and trainer for the Electronic Health Record, Therap; - →Researches, directs and implements new Therap models;
- → Special projects as assigned.
• Cultivate a positive and productive workplace atmosphere to enhance team morale and productivity.
• Participate in and complete training sessions as delegated by management to enhance skills and knowledge relevant to the role.
• Conduct training as required and assigned.
• Perform any additional job responsibilities assigned by supervisors or team leaders to support the organization's smooth operation.
• Accept reassignment as required.
Requirements

- Minimum of 4 years experience working at an executive assistant level. Prior supervisory experience is required.
- High degree of professionalism, reliability, punctuality, excellent attendance and accuracy are required.
- This position requires someone who is well organized; possesses excellent interpersonal and collaborative skills;
- Excellent judgment; can effectively interact with all levels of the organization; can work independently; and who can anticipate and act on the needs of the senior management team.
- Must be detail oriented and have excellent organizational, time-management, project management, follow-through and communication skills.
- Must have a high level of discretion and the ability to maintain confidentiality.
- Must be proficient with Desktop Publishing, Microsoft Office Suite and SharePoint. Must be able to prioritize and meet deadlines in a multi-tasking environment.

- This position operates in a professional office environment.
- Some infrequent day and/or overnight travel possible.
- Some holiday work required to meet scheduled payday processing deadlines.
