Office Manager (FT)

Little Leaves is looking for an Office Manager to be responsible for ensuring efficient and smooth day-to-day operations through consistent communication with internal departments and our employees. This role will be based in our Frederick office location.
This is an excellent opportunity to combine your organizational and problem-solving skills with the sense of urgency needed to support our office, staff and clients. Being detail oriented and possessing excellent verbal communication are critical components for this role.
Responsibilities
~1 min read- →Responsible for providing full administrative support to clinical leaders and other staff members as assigned.
- →Manage and create systems to complete intake in a timely manner.
- →Promote best practices to create efficient office processes, while partnering with other departments.
- →Categorize and maintain library and supply inventories
- →Greet and monitor visitors, and schedule educational/clinical tours for interested parties.
- →Manage incoming telephone calls and route appropriately, and document correspondence and follow up with inter-office communication.
- →Maintain training materials and parent materials by copying and organizing the contents.
- →Ensure safety and security by conducting quarterly fire drills.
- →Create and maintain emergency center binders for each student.
- →Immediately communicate with the scheduling department to report any behavior technician and/or client cancellations or schedule changes.
- →Act as point of contact to order and monitor office and cleaning supplies while tracking inventory.
- →Coordinate repairs and maintenance of copiers, office equipment and the facility, and communicate with vendors to track progress and provide monthly reports.
- →Perform office duties, such as scanning, filing, laminating and support other projects and duties as assigned.
Requirements
~1 min read- High School Diploma required, Associate’s or Bachelor's degree is preferred
- 2 to 4 years of office experience
- Proficient skills in Microsoft applications (Word, Access, Excel, PowerPoint, and Outlook)
- Critical thinking, and the ability to work independently while upholding department standards
- Strong organizational, time management, communication (oral and written) and listening skills
- Detail oriented to demonstrate quality, thoroughness and accuracy of work and projects
- Experience functioning in and adapting to multiple online systems and portals
- Track records of dependability, punctuality and consistency
- Ability to manage competing priorities and multiple tasks simultaneously
- Excellent written communication expertise
- Comfortable meeting time sensitive deadlines, in a fast-paced environment
