About the Role
~1 min read- Provide administrative support to the CEO and Leadership Team members, including calendar management, scheduling meetings, and booking travel.
- Prepare expense reports and assist with other routine administrative tasks as needed.
- Help coordinate Leadership Team meetings by sending invites.
- Handle sensitive information with professionalism and discretion.
- Assist with scheduling and logistics for Board of Directors and Committee meetings.
- Serve as a friendly and professional point of contact for external directors and guests.
- Coordinate logistics for internal and external meetings, including scheduling, room setup, technology needs, and catering.
- Assist the Legal team with administrative tasks related to contracts, such as tracking key dates and maintaining organized records.
- Help maintain accurate files in the contract management system (e.g., Lexion).
- Support document organization and filing to ensure easy access and compliance with internal processes.
- Help maintain the company’s SharePoint site, keeping files organized, up to date, and easy to navigate.
- Assist with creating and updating shared resources, templates, and team pages.
- Partner with IT to troubleshoot basic issues with tools like SharePoint, Teams, and calendar platforms.
- Handle day-to-day office needs to keep the workspace organized, stocked, and running efficiently.
- Manage office supply orders and coordinate with vendors and service providers.
- Assist with facilities-related requests and general office upkeep.
- Support new hire onboarding logistics, including workspace setup and orientation coordination.
- Partner with HR and IT to help create a welcoming and functional workplace experience.
- Help identify and suggest improvements to office processes and workflows.
- Bachelor’s degree or equivalent experience.
- 3–5 years of administrative or office coordination experience, preferably in a biotech, pharma, or life sciences environment.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities at once.
- Professional, reliable, and comfortable handling confidential information with discretion.
- A proactive attitude - you notice what needs to get done and take initiative to make it happen.
- Clear and friendly communication skills, both written and verbal.
- Proficiency in Microsoft 365 tools including Outlook, Teams, Word, and SharePoint.
- Adaptable and resourceful, with a positive, team-first mindset.

The anticipated salary range for candidates for this role will be $85,000 - $100,000. The final salary offered will depend on several factors, which may include, but is not limited to relevant years of experience, educational background, industry knowledge, technical skills, and other factors that may prove relevant during the interview process.
