The agency is seeking a detail-oriented Virtual Assistant to support the behind-the-scenes operations that enable exceptional service. This role involves creating beautifully organised itineraries and producing social media content that reflects the luxury brand and boutique ethos. The ideal candidate is organised, proactive, proficient with digital tools, and passionate about the luxury travel sector.


Key Responsibilities Client & Itinerary Support
● Assist with formatting and organizing travel itineraries in Travel Joy
● Track client trip details, suppliers, and timelines
● Assist with confirming reservations and communicating with suppliers when needed Administrative Support
● Maintain spreadsheets tracking clients, bookings, and suppliers
● Organize digital files and documentation
● Document processes and workflows for repeat tasks

Marketing & Social Media Support
● Schedule and format posts using Canva
● Assist with newsletter creation and distribution (these are created by Moxie & Fourth)
● Organize photo libraries and travel content
● Prepare basic social media captions and drafts

Systems & Organization
● Maintain organized folders in Google Drive
● Update spreadsheets in Google Sheets
● Assist with email newsletters using Flodesk

Ideal Candidate The ideal candidate is someone who:
● Is highly organized and detail-oriented
● Communicates clearly and professionally in writing
● Is comfortable learning new technology and systems
● Has strong research skills
● Can manage multiple projects and deadlines
● Has an interest in travel, hospitality or luxury brands
● Takes initiative and enjoys improving processes Previous experience in travel, hospitality, or administrative support is a plus, but not required
