About the Role

The Hospice Office Receptionist serves as the first point of contact for patients, families, visitors, and staff at the hospice. This role involves managing the front desk, answering phone calls, greeting guests, and providing administrative support to ensure the office operates smoothly. The ideal candidate will possess strong communication skills, a compassionate demeanor, and the ability to handle sensitive situations with professionalism and empathy.

  • Maintain a clean, organized, and welcoming reception area.
  • Answer and direct incoming phone calls in a courteous and professional manner.
  • Take and relay messages accurately, ensuring timely communication.
  • Assist with email correspondence and other forms of communication as needed.
  • Assist with scheduling appointments, meetings, and conference rooms as required.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain and update patient records, office files, and databases, ensuring confidentiality and accuracy.
  • Provide general administrative support, such as filing, photocopying, and faxing.
  • Support hospice staff with various tasks, such as preparing documents, data entry, and special projects.
  • Liaise with vendors, service providers, and other external parties as needed
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Show empathy and understanding when interacting with patients and families dealing with end-of-life situations.
  • Adhere to all privacy regulations and company policies regarding patient information.

Requirements

  • High school diploma or equivalent required; some college or additional training preferred.
  • Prior experience in a receptionist or administrative role, preferably in a healthcare or hospice setting.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., fax machines, scanners).
  • Ability to maintain composure in stressful situations and handle sensitive issues with care.
  • Strong interpersonal skills and the ability to work effectively with diverse groups of people.
