HAIX® is a family-owned footwear manufacturer trusted by thousands of firefighters, EMTs and paramedics, law enforcement officers, foresters and arborists, safety workers and more. We hand-craft over 1 million pairs of shoes annually and we are proud to sell them to dealers, distributors, and directly to individuals around the globe.
Our US office was established in 2003 and serves the United States and Canada.
Our mission has always been to make the best specialized footwear on the market. Period. We offer the industry's most innovative and thoughtfully designed products. We aim to create protective, comfortable footwear at a good price-to-performance ratio—boots that stand up to years of use under the most rigorous conditions. The safety of our customers is our top priority.
THE ROLE
The Receptionist is responsible for greeting visitors, answering the phones, disseminating mail, ordering office supplies and various other office duties and tasks as assigned. The Receptionist will also assist team members within the Customer Service Department as needed. The Receptionist reports to the Customer Service Supervisor and will report on-site at our Lexington, KY Headquarters Monday thru Friday, 8am to 5pm.

THE JOB
- Answer, screen and forward incoming phone calls to correct departments and referrals to dealers
- Check voice messages daily and forward to appropriate departments
- Greet and welcome visitors/customers: advise appropriate staff members
- Request credit references for potential dealers
- File electronic paperwork via an E-file system daily
- Organize, file and maintain all orders in appropriate boxes and coordinate the off site storage for these
- Manage and distribute incoming and outgoing daily mail
- Order office and breakroom supplies as needed from designated vendors
- Coordinate with the warehouse picking up and dissemination of office and breakroom supplies
- Restock kitchen supplies daily
- Act as point of contact for building maintenance issues and contracted cleaning company; calling appropriate contractors
- Assist with preparation of specific marketing materials (brochures, binder covers, etc)
- Daily light office cleaning/sanitizing of high touch areas
- Order and coordinate catering services for quarterly sales meetings and as needed throughout the year
- Prepare conference room for meetings and events as needed
- Assist colleagues with variety of administrative tasks as needed, including copying, faxing, etc
- Other tasks and duties as assigned
THE SKILLS NEEDED

- Multi-line phone systems
- Basic to moderate physical and electronic document filing and processing
- Microsoft Office Suite (Outlook, Word, Excel)
- E-file (preferred)
- Printers/Scanners/Copy Machines
- Exceptional verbal and written communication with positive attitude
- Active Listening and Conflict Resolution
- Able to sit/stand for extended periods of time
- Lift, carry, or move office supplies and documents up to 10 to 25lbs
