This role is central to keeping the team running smoothly—managing complex schedules, coordinating events, and ensuring seamless execution across a variety of priorities.
This role sits within Investment Management which strives to deliver exceptional investment portfolios by harnessing the differentiated capital and strategic strength of the ICONIQ community.
Responsibilities
~1 min read- →Provide support for VP and additional team members when needed, primarily with social events, travel, team meetings and adhoc project support
- →Manage complex, high-volume calendars for and across multiple time zones
- →Coordinate internal and external meetings, including travel planning, logistics, event coordination and materials
- →Track and manage follow-ups from leadership communications and meetings
- →Maintain accurate records of contacts, relationships, and introductions in internal systems
- →Partner across teams to support projects and improve operational processes
- →Help organize and prioritize client and team activities to ensure deadlines are met
- →Process expense reports and provide general administrative support
- 3+ years of experience supporting multiple stakeholders in an administrative or executive assistant capacity
- Experience managing complex calendars and scheduling across time zones
- Ability to adapt quickly in a fast-paced, evolving environment
- Experience collaborating across teams and functions
- Proficiency with Microsoft Outlook; experience with customer relationship management tools is a plus
- Strong communication skills and ability to handle sensitive information with discretion
- Familiarity with AI tools and an interest in using them to improve workflows and productivity
