This is a high-impact executive support role partnering closely with the CEO and Chief of Staff in a fast-paced healthcare technology environment. You will help manage the CEO’s daily operating rhythm while ensuring priorities, meetings, communications, and commitments stay aligned. The role combines sophisticated calendar and travel management with cross-functional coordination and executive-level project support. You will serve as a trusted liaison across internal and external stakeholders, handling sensitive information with exceptional discretion. You will also contribute to organization-wide initiatives, events, presentations, and operational improvements. This remote position offers the opportunity to work across functions while helping an executive leadership office operate with clarity, efficiency, and professionalism.

Proactively manage the CEO’s calendar, resolving conflicts, prioritizing commitments, and ensuring schedules reflect organizational priorities.

Prepare and distribute meeting materials, take accurate minutes, track action items, and follow through to ensure commitments are completed.

Coordinate weekly and monthly leadership meetings, offsites, retreats, and other executive team activities.

Act as a primary liaison for the CEO’s office, facilitating communication between the CEO, executive leaders, employees, clients, partners, and other stakeholders.

Partner with the Office of the CEO to keep leadership aligned with organization-wide initiatives, operating cadences, and strategic priorities.

Maintain strong communication with executive assistants supporting other senior leaders and help ensure effective coordination across the leadership team.

Keep the CEO informed of upcoming commitments, responsibilities, meetings, and relevant follow-ups.

Manage domestic and international travel arrangements, detailed itineraries, and reimbursable expenses while ensuring compliance with travel policies.

Respond proactively to travel changes and other time-sensitive logistical issues.

Support executive-level projects through planning, presentation preparation, initiative tracking, and administrative coordination.

Provide event management and hospitality support for conferences, leadership events, company activities, and executive engagements.

Build trusted, long-term relationships with internal and external stakeholders while representing the CEO’s office with professionalism.

Identify opportunities to improve processes, reduce friction, and use emerging technologies, including AI, to increase operational effectiveness.

Take on additional projects and responsibilities that support the effectiveness of the CEO and broader organization.
Requirements

5–7 years of experience providing executive-level support to C-suite leaders.

Bachelor’s degree or equivalent professional experience.

Exceptional organizational skills, attention to detail, prioritization, and time-management capabilities.

Demonstrated ability to manage a high volume of responsibilities independently with limited supervision.

Strong judgment and problem-solving skills, particularly when handling competing priorities or time-sensitive situations.

Excellent written and verbal communication skills with the professionalism required to interact with senior executives, clients, investors, community leaders, and other stakeholders.

Proven ability to maintain strict confidentiality, discretion, and integrity when handling sensitive information.

Expert proficiency with Microsoft Office and strong overall comfort with workplace technology and end-user solutions.

Ability to quickly adapt priorities, switch between tasks, and respond appropriately to urgent requests.

Experience working effectively within cross-functional teams and closely with an executive office.

Ability to work in a fast-paced, entrepreneurial, and highly self-directed environment.

Demonstrated openness to innovation and curiosity about emerging technologies, including AI, as tools for improving processes and experiences.

Ability and willingness to travel and work onsite at client, temporary, or corporate locations when business needs require.

1–2 years of healthcare experience is preferred.

Ability to complete the required HFMA Certified Revenue Cycle Representative (CRCR) certification within 9 months of hire.
