Muon seeks a Facilities Coordinator for our Mountain View, CA office. In this role, you will be responsible for managing day-to-day operations and maintenance of company facilities, including visitor management, workspace functionality, and facility-related vendor relationships, while ensuring safe, efficient, and compliant work environments. You will also take ownership of small repairs, maintenance tracking, and lead facilities projects from planning through completion.

Important: This role requires on-site presence Monday through Friday from 8:00 AM – 5:00 PM. Additionally, this role may require on-call availability on weekends in the event of a company event or a facility emergency.

Responsibilities

  • Day-to-Day Operations
    • Manage the front door and oversee Muon's guest check-in process, ensuring a smooth and positive experience for all visitors
    • Maintain end-to-end employee experience including but not limited to cafe, snacks, badge distribution and access and collaboration areas
    • Receive USPS, scan and email documents to the appropriate department
    • Conduct a daily perimeter check before leaving to ensure the security of our facility; create and issue corporate badges
    • Stay vigilant with ADA compliance and building compliance
    • Coordinate vendors to resolve on-site facility issues to ensure business is minimally impacted
  • Maintenance & Repairs
    • Coordinate and track maintenance and repair activities for building systems including HVAC (including cleanroom/HEPA), security systems, fire protection, and other facility infrastructure
    • Perform small repairs and hands-on maintenance tasks to keep the workspace functional and safe
    • Identify and resolve field issues during facility modifications, escalating to engineering or management as needed
  • Facilities Projects
    • Lead facilities projects from planning through turnover, partnering with engineers, contractors, and vendors across procurement, installation, and commissioning phases
    • Communicate planned work and schedules to internal teams, subcontractors, and suppliers to meet operational needs and deadlines
    • Participate in facility readiness activities and assist with response to facility emergencies or environmental threats

Requirements

  • Must be able and willing to reliably work in our Mountain View office 5 days per week from 8:00 AM – 5:00 PM (this role does not offer a WFH option)
  • 1–2 years of corporate facilities, operations, or related experience
  • Familiarity with building systems including HVAC, cleanroom/HEPA environments,and  fire protection.
  • Good written communication skills
  • Computer literacy, including experience with Google Workspace and Slack
  • Familiarity with stringent visitor registration policies and systems (iPad, The Receptionist, Envoy; ITAR knowledge is a plus)
  • Proactively identify and resolve issues, taking personal accountability for solutions and follow-through
  • Ability to adapt to a dynamic, fast-paced environment

This position requires access to export controlled information. To conform to U.S. Government export regulations applicable to that information, applicant must either be (A) a U.S. person, defined as a (i) U.S. citizen or national, (ii) U.S. lawful, permanent resident (green card holder), (iii) refugee under 8 U.S.C. § 1157, or (iv) asylee under 8 U.S.C. § 1158, (B) eligible to access the export controlled information without a required export authorization, or (C) eligible and reasonably likely to obtain the required export authorization from the applicable U.S. government agency. The Company may, for legitimate business reasons, decline to pursue any export licensing process.

 

  • Associate's degree or equivalent experience
  • Experience working with ticket management software (Asana, Jira a plus)
  • Experience supporting construction or facilities modification projects
  • Familiarity with local authority documentation

This role is non-exempt. The salary range for this role is $78,000 – $99,000, plus a competitive equity grant and comprehensive benefits package. Final compensation will be based on skills, qualifications, experience, and geographic location as assessed during the interview process.
