Salary range: $60,000 - $70,000
Placement within the range is typically based upon a review of skills, experience, and internal equity.
Hours per week: 37.5
Paid leave: 4 Weeks Vacation / 14 Flex Days per year

SAIT is looking for a highly organized and proactive AVP Executive Assistant to support our Finance leadership team.
Reporting directly to the Associate Vice President, Finance, the AVP Executive Assistant is responsible for providing administrative support to the AVP and the Leadership team within the Finance Department by preparing correspondence, presentations, reports, managing special projects and scheduling meetings.
This position acts as a key liaison between the AVP Finance, SAIT Executives, internal departments, and external stakeholders.
Administrative Support for the AVP Finance
Maintain the Associate Vice President’s calendar.
Coordinate and schedule meetings, including preparing agendas, meeting materials, and logistical arrangements as required.
Provide administrative support for the Audit & Investment Committee.
Arrange and coordinate business travel and accommodation when required.
Prepare, edit, and format correspondence, presentations, reports, and other materials.
Departmental and Leadership Team Support
Coordinate departmental communications and distribute information on behalf of the Finance Leadership Team.
Maintain and reconcile departmental records and documents, including organizational charts, email distribution lists and credit card statements.
Support departmental events, professional development activities, and town halls.
Maintain office stationery and kitchen supplies and coordinate vendor services such as Culligan water delivery.
Assist with onboarding new hires.
Serve as a key point of contact for internal and external stakeholders, providing professional, timely, and confidential administrative support.
Minimum high school diploma.
A post-secondary certificate or diploma in a related field, such as Business Administration or Office Management, is an asset.
5 - 10 years of administrative experience.
Experience supporting senior management is preferred.
Knowledge of post-secondary institutions is an asset.
Advanced proficiency in Microsoft Office Suite.
Experience with teleconferencing and video conferencing tools.
Knowledge of audio-visual equipment and setup.
Demonstrate high level of professionalism, discretion, and ability to handle confidential information.
Exceptional organizational and time management skills, with the ability to multi-task.
Proactive and resourceful, with the ability to take initiative, solve problems, and work independently with minimal direction.
Excellent verbal and written communication skills.
Strong interpersonal skills, with a positive and collaborative attitude.
