About the Role

We are seeking a reliable and customer-focused Virtual Assistant to serve as the front line of communication for our business.

This role is primarily responsible for answering incoming calls, assisting customers, booking appointments, and supporting day-to-day administrative operations. You will play a critical role in ensuring every lead is handled promptly and professionally.

This position is ideal for someone who enjoys speaking with customers, is highly organized, and thrives in a fast-paced service environment.

Responsibilities

  • Answer incoming calls during business hours (9 AM – 5 PM CST)

  • Provide friendly, professional, and helpful customer interactions

  • Address inquiries and route calls when necessary

  • Ensure no missed opportunities from inbound leads

  • Schedule appointments for painting services

  • Create and manage estimates using Housecall Pro

  • Confirm bookings and maintain accurate scheduling records

  • Ensure all customer details are properly captured

  • Assist with general administrative tasks

  • Maintain organized records and customer information

  • Support day-to-day operations as needed

  • Run Saturday reports (approximately 1 hour of work)

  • Prepare and deliver reports for Monday morning review

  • Ensure accuracy and timely completion of reporting tasks

  • 2–5 years of experience as a Virtual Assistant, Customer Support Rep, or Admin

  • Strong phone presence and customer communication skills

  • Experience with scheduling and appointment booking

  • High level of organization and attention to detail

  • Ability to multitask in a fast-paced environment
