Administrative Assistant - Complex Case Unit Location: Augusta, MEEmployment Type: ContractWork Environment: On‑site / Hybrid (as applicable) Position Overview This contract position provides professional and technical administrative support to the Office of MaineCare Services (OMS) – Complex Case Unit (CCU) in Augusta, Maine. The CCU supports Maine residents by delivering timely, coordinated solutions to complex healthcare, financial, and placement challenges through collaboration with providers and community partners. The Administrative Assistant supports CCU staff, clients, and stakeholders by conducting research and analysis, managing sensitive information, and providing high‑level administrative assistance to ensure efficient case resolution and program operations. Key Responsibilities Provide professional and technical support to the CCU team, including attending meetings, capturing detailed meeting minutes, drafting correspondence, sending emails, faxing documents, and making phone calls. Research MaineCare eligibility and claims data to support case evaluation and present findings using a collaborative, team‑based approach. Review client applications for medical services to determine eligibility for assistance under applicable programs and policies. Develop, recommend, and implement new systems, procedures, or workflow improvements to enhance team efficiency and effectiveness. Conduct research on sensitive or complex matters and prepare special reports as needed. Respond independently to inquiries from public and private stakeholders regarding high‑level or sensitive issues. Analyze reports, files, and documentation to identify barriers to placement or services and share findings with the CCU team. Required Knowledge, Skills, and Abilities Ability to accurately and efficiently type detailed meeting notes in real time. Proficiency with Microsoft Office applications, including Excel (sorting, filtering, basic formulas); ability to learn additional systems. Ability to compose, review, and edit complex or technical correspondence. Strong analytical and critical‑thinking skills with the ability to make sound recommendations. Ability to interpret and apply rules, regulations, and policies to non‑routine individual cases. Strong organizational, time‑management, and scheduling skills. Ability to work independently while contributing effectively as part of a team. Ability to communicate clearly and professionally with internal and external stakeholders. Ability to build and maintain effective working relationships. Knowledge of, or ability to learn, disabilities services, healthcare programs, and community resources. Familiarity with medical and health insurance terminology preferred. Knowledge of, or ability to learn, collaboration tools such as SharePoint, Microsoft Forms, and Power Automate. Minimum Qualifications A combination of four (4) years of education and/or experience in care management, medical eligibility programs, administrative support, and/or behavioral health. High School Diploma or GED required; some college coursework preferred. Demonstrated ability to work toward prompt case resolution, gather and document data accurately during meetings, work independently, and adapt to changing priorities.
