Administrative Assistant - Horowitz Event Centre

Overview
Responsible to and under the supervision of the Manager of Operations, the Administrative Assistant is responsible to provide office and clerical support as designated by the Manager of Operations and shall represent the Horowitz Events Centre of the Students’ Union, through telephone and in-person contact with students, staff and the general public.
DUTIES AND RESPONSIBILITIES
The Administrative Assistant shall fulfill any number of the following duties and responsibilities:
- Act as the key support resource for the Horowitz events centre offices in the wide range of managerial, administrative, scheduling, booking, record keeping and other relevant roles.
- Receive incoming telephone calls and relay messages as required; respond to email enquiries.
- Process Cash outs and gratuity’s according to proscribed systems
- Review and code supplier invoices and deliver to accounts payable.
- Handle incoming and outgoing mail and deliveries.
- Order office supplies as required and maintain the office in an organized manner.
- Maintain the petty cash, and provide cash receipts as needed.
- Ensure that the electronic and print communications for the Horowitz events centre are kept up to date and all documentation is posted correctly.
- Maintain a current and accurate filing system.
- Provide assistance to various Students’ Union departments as required.
- Provide administrative support, as required, for special events initiated by the Students' Union with the objective of contributing to the success of the event in question.
- Attend and participate in department meetings as required.
- Perform other job related duties within the bounds of the required qualifications as coordinated by the Manager of Operations.
QUALIFICATIONS
- Completion of level of education equivalent to Alberta Grade 12, plus office administration diploma or two years related experience.
- Must possess excellent interpersonal and communication skills and deal in a professional, pleasant and effective manner with students, visitors, public and telephone inquiries.
- Good organizational skills and the ability to deal with stress in a busy environment.
- Good clerical and Macintosh computer skills including using Google Suites.
- Must display initiative, sound judgment and confidentiality in fulfilling the roles of the position
