Why we're hiring:

WPP Open X is seeking a highly organised, proactive, and exceptionally skilled Executive Assistant to provide comprehensive administrative and operational support to our senior executives. This pivotal role requires an individual who thrives in a fast-paced, demanding environment, adept at managing diverse administrative tasks both independently and collaboratively.  This office-based position will be primarily based at WPP's Sea Containers House in London, with an expected presence of at least 3 – 4 days per week.

What you'll be doing:

You will be essential in ensuring the smooth operation of executive functions, demonstrating flexibility, composure, and a proactive approach even under pressure. The ideal candidate possesses excellent written and verbal communication skills, meticulous attention to detail, and sound decision-making abilities, whilst always upholding the utmost professionalism and confidentiality. This role would suit a highly organised individual who excels in fast-paced environments and is eager to contribute to a dynamic global team.

  • Provide high-level administrative support to WPP Open X executives, ensuring their schedules and operations run seamlessly.
  • Proactively manage complex executive calendars, strategically optimising time and anticipating demands.
  • Arrange comprehensive domestic and international travel, including detailed logistics and visa procurement.
  • Proactively identify opportunities to develop and optimise internal administrative processes to enhance overall efficiency and productivity within the team.
  • Manage executive expense reporting, ensuring accuracy and strict adherence to company policies Maintain continuous awareness of ongoing task progress, providing regular updates and communicating timelines effectively to relevant stakeholders.
  • Prepare, edit, and format various documents, reports, and presentations with precision and a high level of quality, often under tight deadlines.
  • Organise and compile comprehensive briefing materials for a range of engagements, including internal meetings, client presentations, external conferences, and speaking engagements, ensuring executives are thoroughly prepared.
  • Assist in the seamless coordination and execution of key events such as industry gatherings, internal team meetings, offsite sessions, private dinners, and corporate hospitality events, from planning to post-event follow-up.

What you'll need:

  • Proven Executive Assistant Experience: Demonstrable track record in a similar high-level support role, ideally within a dynamic creative or agency environment, adept at managing complex executive needs.
  • Advanced Technical Proficiency: Mastery of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strategic Organisation & Prioritisation: Exceptional ability to manage complex calendars, master multitasking, and strategically prioritise demanding workloads with meticulous attention to detail.
  • Impactful Communication: Confident, articulate, and professional communicator, adept at engaging and influencing personnel at all levels, including senior leadership, clients, and global partners.
  • Stakeholder Engagement: Ability to build and nurture strong working relationships with diverse stakeholders, including TCCC clients, internal teams across WPP Open X and the broader WPP network. Possess a deep understanding of the organisational ecosystem to facilitate seamless collaboration.
  • Proactive Problem-Solving: A solutions-oriented mindset with keen foresight, capable of anticipating needs and proactively resolving issues with unwavering accuracy.
