Purpose: First point of contact for visitors, clients, and callers, creating a positive and welcoming first impression while handling various administrative and clerical tasks to ensure the smooth functioning of the front office and support the overall efficiency of the organization.

Duties and Responsibilities:

  • Answering and Routing Calls: Managing incoming calls, taking messages, and forwarding calls to the correct individuals.
  • Greeting and Directing Visitors: Welcoming guests, verifying their identification, and directing them to the appropriate person or office; maintaining and filing visitor logs.
  • Handling Correspondence: Sorting and distributing incoming and outgoing mail and handling email correspondence.
  • Maintaining Office Supplies: Monitoring inventory and ordering necessary supplies
  • Providing General Administrative Support: Performing tasks like data entry, filing, and other clerical duties as directed.
  • Ensuring a Welcoming Environment: Maintaining a clean and organized reception area and providing a positive first impression of the company.
  • Handling Company Events: Assist in the planning, coordination, and setting up of company events.
  • Accounts Payable: Processing Invoices/Assisting Accounting Department

Required Qualifications/Skills:

  • Proficient in Microsoft Office, such as Word, Excel, Outlook and PowerPoint and other basic computer applications.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Ability to multi-task, prioritize effectively, and maintain accurate records.
  • Ability to problem solve.
  • Ability to maintain a professional appearance, demeanor, and attitude.
  • Effective at maintaining composure in dealing with high-stress situation.
