Currently, bbf: is enlarging its internal staff, and we are looking for a Personal Assistant to the Managing Partner for our office in Athens.
Key Responsibilities
- Provide high-level administrative and organizational support to the MAnaging Partner, ensuring smooth day-to-day operations.
- Coordinate and oversee office systems and infrastructure, including communication tools, CRM platforms, and digital resources.
- Maintain and monitor internal records, documentation, and filing systems with accuracy and confidentiality.
- Support the preparation and management of property listings, client records, reports, and internal documentation.
- Act as a central point of coordination for incoming leads, ensuring proper registration, allocation, and follow-up.
- Assist in the preparation of regular business reports and performance summaries for senior management.
- Liaise with internal departments and external partners, including coordination of payments with the accounting team.
- Prepare and review key documents such as tenancy agreements, powers of attorney, and management agreements.
- Facilitate communication between management, sales teams, and external stakeholders.
- Manage schedules, meetings, and occasional travel arrangements for the Office Director.
- Ensure the office environment remains professional, organized, and welcoming at all times.
- Handle incoming communications (calls, emails, visitors), ensuring prompt and professional responses.
- Oversee office supplies, deliveries, and courier services.
- Provide general administrative support, including document handling, correspondence, and ad hoc tasks.
Requirements
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Fluency in English and Greek is essential; Russian will be considered an advantage.
- Excellent organizational and time-management abilities with attention to detail.
- Ability to multitask, prioritize, and work effectively under pressure.
- Professional, discreet, and proactive approach to work.
- Team-oriented mindset with a supportive and adaptable attitude.
- Previous experience in administrative support, coordination, or a similar role will be considered an advantage.
