C-Care Mauritius is currently looking for a Personal Assistant.
Reporting directly to the General Manager, the Personal Assistant will provide high-level administrative, organizational, and executive support to ensure the effective and efficient management of the General Manager’s office. The incumbent will act as a key point of contact, manage schedules and communications, coordinate meetings and projects, prepare reports and presentations, and maintain strict confidentiality in handling sensitive information. The role requires exceptional organizational skills, professionalism, discretion, and the ability to work effectively in a fast-paced healthcare environment.
What you will be doing:
- Manage and maintain the General Manager’s calendar, appointments, meetings, and travel arrangements.
- Screen, prioritize, and manage incoming correspondence, emails, telephone calls, and requests.
- Prepare, draft, review, and distribute correspondence, reports, presentations, and other business documents on behalf of the General Manager.
- Ensure timely follow-up on action items, deadlines, and commitments arising from meetings and operational discussions.
- Organize and coordinate internal and external meetings, including preparation of agendas, meeting packs, and minutes.
- Serve as the primary point of contact between the General Manager and internal or external stakeholders.
- Coordinate communication and information flow between departments to ensure timely execution of business priorities.
- Maintain organized filing systems, records, and confidential documents in compliance with hospital policies.
- Liaise professionally with executives, physicians, department heads, regulatory authorities, suppliers, and business partners.
- Coordinate visits, meetings, and events involving senior management and external stakeholders.
- Support the General Manager in maintaining effective working relationships across the organization.
- Coordinate Executive Committee, Management Committee, and other leadership meetings.
- Record and distribute meeting minutes and monitor the completion of agreed action plans.
- Support the preparation of documents required for audits, inspections, accreditation exercises, and regulatory submissions.
- Ensure confidentiality and secure handling of sensitive corporate, financial, and operational information.
- Assist in organizing corporate events, leadership meetings, staff engagement activities, and official functions.
- Support the implementation and monitoring of strategic and operational projects assigned by the General Manager.
- Coordinate logistics and administrative arrangements for executive visits and special assignments.
- Anticipate administrative needs and proactively resolve issues to support the effectiveness of the General Manager.
- Maintain a high level of professionalism, discretion, and confidentiality at all times.
- Perform any other duties assigned by the General Manager in line with organizational requirements.
Qualifications & Experience:
- Diploma or Degree in Business Administration, Management, Secretarial Studies, or a related field.
- Minimum of 3–5 years' experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives.
- Previous experience in a healthcare, hospital, or corporate environment would be an advantage.
- Proven experience in coordinating executive schedules, meetings, and confidential documentation.
