SUMMARY:
Position : Administrative Assistant for College and Career Success
Description : Provides administrative support for the College and Career Success department, assisting in the implementation and management of college and career readiness services. Supports the department in maintaining and promoting a college and career-focused atmosphere. This role collaborates with high school counselors, students, parents, alumni, and staff to ensure smooth communication, event organization, data tracking, and engagement efforts.

QUALIFICATIONS:
- Bachelor’s Degree from an accredited university
- Minimum 2 years of administrative or clerical experience, preferably in an educational setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Support alumni student organizations to increase and maintain Frontier graduates’ college enrollment persistence and completion above state and national averages
- Assist in the preparation and dissemination of materials regarding college and career success programs.
- Maintain records and files related to college and career readiness programs, ensuring accuracy and confidentiality.
- Coordinate logistics for college and career fairs, workshops, events, and other departmental activities.
- Schedule and organize meetings, appointments, and travel arrangements for department staff.
- Prepare and process purchase orders, invoices, and expense reports for the department.
- Assist with the collection and analysis of data regarding college matriculation, persistence, and completion rates.
- Support the coordination of assistance to seniors and alumni for finding scholarships, internships, and job shadowing opportunities.
- Communicate with stakeholders, including students, parents, and community partners, about department events and programs.
- Assist in the organization and execution of student engagement programs, such as extracurricular activities, clubs, and mentorship programs.
- Provide administrative support for family engagement programs, including home visits, Parent Academies, and K12 family education initiatives.
- Assist in the coordination of summer-melt intervention efforts by supporting seniors during the summer with text messages, phone calls, home visits, and orientation events.
- Assisting with the implementation and day-to-day administration of the Alumni College Mentoring Program (ACMP) project.
- Supporting the recruitment, onboarding, training, and communication of Alumni College Mentors
- Coordinating mentor interviews, orientation sessions, meetings, workshops, and program events.
- Tracking mentor engagement, student participation, and program outcomes.
- Processing mentor contracts, invoices, stipends, and payment documentation.
- Performing other project-related duties as assigned to support the successful implementation of the Alumni College Mentoring Program.
- Prepare and maintain reports on the progress of departmental goals and objectives.
- Coordinate system wide alumni success stories as an important motivational tool to be shared with communication department for all stakeholders
- Communicates with all stakeholders about school events and programs in a timely manner.
- Perform other duties as assigned.
SKILLS AND ABILITIES:
- Knowledge of college access counseling, postsecondary support, family and student engagement services, and student extracurricular and athletic programs
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to establish and maintain effective working relationships with internal and external stakeholders.
- Proficiency in using office equipment, including computers, copy machines, and telephones.
- Ability to handle multiple tasks simultaneously and prioritize effectively.
- Attention to detail and accuracy in all aspects of work.
- Ability to maintain confidentiality of sensitive information.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
- Light Work: may require occasional light lifting.
- Night and weekend activities will be occasionally required.
- The position is in office setting and may involve prolonged work at a desk in one location.
- Travel is required.
