Für unseren Berliner Standort suchen wir eine vorausschauende, diskrete und hervorragend organisierte Persönlichkeit als Executive Assistant – Executive Management & Berlin Office (m/w/d). Im Mittelpunkt steht die professionelle, proaktive Unterstützung des Berlin Office Leaders / Director CE Digital Sales & Compute Transformation sowie des Digital Sales Leaders Berlin. Die Rolle schafft Struktur, Transparenz und Verbindlichkeit in komplexen Managementabläufen, koordiniert zentrale Stakeholder und stellt eine hochwertige Vor- und Nachbereitung von Entscheidungen, Meetings und Kommunikation sicher. Ergänzend übernimmt sie ausgewählte Aufgaben zur Koordination des Berliner Standorts in enger Zusammenarbeit mit ISS Facility Management, Design Offices und internen HPE Funktionen. Ihre Aufgaben – Executive Management im Fokus


  • Für den Berliner Standort steht künftig zusätzliche Unterstützung durch ISS im Umfang von 20 Stunden pro Woche im Facility Management zur Verfügung. Das Office Management arbeitet eng mit ISS und Design Offices zusammen, koordiniert die Schnittstellen und stellt eine verlässliche Umsetzung der standortbezogenen Aufgaben sicher.
  • Organisation, Koordination und kontinuierliche Verbesserung von Büroabläufen, Prozessen und lokalen Arbeitsweisen – in enger Abstimmung mit ISS, Design Offices und den relevanten HPE Funktionen.
  • Zentrale Anlaufstelle für Mitarbeitende, Gäste, Lieferanten, ISS Facility Management, Workplace Services und weitere lokale Stakeholder; strukturierte Aufnahme, Weiterleitung und Nachverfolgung von Anliegen.
  • Koordination der nicht durch ISS oder Design Offices abgedeckten Office-Services, darunter Postein- und -ausgang, Besucherbetreuung, Büromaterial, Lagerbestände und lokale Bestellungen im Rahmen verfügbarer Budgets.
  • Zusammenarbeit mit Buchhaltung, Bestellwesen und Procurement, einschließlich SAP Ariba, Rechnungsnachverfolgung, Lieferantenmanagement und der Abstimmung mit ISS zu vereinbarten Leistungen.
  • Unterstützung von Onboarding-, Offboarding- und Workplace-Prozessen sowie lokaler Kommunikation und standortbezogener Initiativen; Planung und Begleitung lokaler Events, Leadership Meetings, Kundenbesuche und Employee-Engagement-Aktivitäten.
  • Aktive Mitgestaltung eines lebendigen Berliner Standorts, an dem HPE Office- und Sales-Kultur sowie hybrides Arbeiten im Alltag erlebbar werden – durch persönliche Präsenz, verbindende Kommunikations- und Austauschformate, standortbezogene Initiativen und ein attraktives Arbeitsumfeld, das Zusammenarbeit, Zugehörigkeit und regelmäßige Begegnung fördert.

  • Administrative und organisatorische Unterstützung des Digital Sales Leaders Berlin und der lokalen Digital Sales Führungsaktivitäten.
  • Koordination von Teammeetings, Business Reviews, Kunden- und Partnerterminen, Reiseplanung, Agenden, Vor- und Nachbereitung.
  • Aufbau und Pflege eines verlässlichen Action- und Decision-Trackings für ausgewählte Leadership- und Business-Review-Formate. Proaktives Nachhalten von Verantwortlichkeiten, Fristen und offenen Punkten sowie frühzeitige Eskalation von Blockern.
  • Sicherstellung eines professionellen Kommunikations- und Informationsflusses zwischen Führung, Mitarbeitenden und relevanten Stakeholdern.
  • Unterstützung bei Präsentationen, PowerPoint-Materialien, lokalen Initiativen und organisatorischen Prioritäten der Digital Sales Organisation.
  • Nutzung moderner digitaler und KI-gestützter Arbeitsweisen zur Vorbereitung von Briefings, Agenden, Zusammenfassungen, Präsentationen und Follow-ups.

 

  • Komplexes Kalender-, Reise- und Stakeholder-Management für eine Führungsrolle mit Verantwortung im Berliner Office sowie in Central Europe.
  • Koordination von regionalen Leadership Meetings, strategischen Workshops, Kundenbesuchen und cross-funktionalen Abstimmungen.
  • Vorbereitung und Qualitätssicherung von Management-Unterlagen, Präsentationen, Follow-ups und Kommunikationsformaten.
  • Vertrauliche, proaktive und präzise Unterstützung bei geschäftskritischen Themen, Prioritäten und Eskalationen.

  • Abgeschlossene Ausbildung, Hochschulabschluss oder gleichwertige Qualifikation.
  • Erste Erfahrung in einem oder mehreren relevanten Bereichen, zum Beispiel Office Management, Assistenz, Front Office, Event Management oder administrative Koordination. Entscheidend sind Lernbereitschaft, Organisationstalent und Serviceorientierung – nicht, dass Sie bereits jede Aufgabe vollständig beherrschen.
  • Sehr gute Deutsch- und Englischkenntnisse in Wort und Schrift.
  • Erfahrung mit MS Office, insbesondere Outlook, Excel und PowerPoint; Kenntnisse in Beschaffungsprozessen bzw. SAP Ariba sind von Vorteil.
  • Gutes Zeitmanagement, eine strukturierte Arbeitsweise und die Bereitschaft, Prioritäten gemeinsam abzustimmen. Bei parallelen Anforderungen unterstützen Führungskräfte und relevante Partner bei der Klärung.
  • Freundliche und klare Kommunikation, ein verlässlicher Umgang mit vertraulichen Informationen sowie Freude an der Zusammenarbeit mit unterschiedlichen internen und externen Partnern.
  • Proaktive, positive und professionelle Arbeitsweise mit dem Anspruch, ein angenehmes, effizientes und sicheres Arbeitsumfeld mitzugestalten.
