Position Overview

We are looking for an Office Coordinator to join our team at ARI! This is a highly service-oriented and versatile role for someone who enjoys helping people, staying organized, and keeping things moving behind the scenes. The Office Coordinator serves as a key point of contact for our office, answering and directing incoming phone calls, welcoming visitors and vendors, and supporting employees with travel, administrative needs, meetings, and other day-to-day activities.

This position has consistent day-to-day responsibilities while also offering plenty of variety. The Office Coordinator provides routine accounting support and works closely with our Executive Assistant and other departments, stepping in to help with different priorities and projects as needs arise. Compensation

Job Requirements/ Qualifications
  • Education: High school diploma or equivalent required; associate degree in Business Administration, Office Administration, or a related field preferred.
  • Experience: Two or more years of experience in a fast-paced, service-oriented administrative, coordination, or similar support role.
  • Technology: Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable learning and supporting mobile applications and business systems.
  • Pre-employment Drug Test: Successful completion of a pre-employment drug test, including marijuana screening.

Job Responsibilities
Office Operations & Front Office
  • Front Office: Answers and directs incoming phone calls and greets and assists employees, visitors, vendors, customers, and other guests.
  • Office Environment: Maintains an organized, professional, and welcoming office, including reception areas, conference rooms, kitchens, and shared spaces.
  • Office & Facility Supplies: Orders and maintains office, kitchen, restroom, and other facility supplies.
  • Mail, Shipments & Keys: Coordinates incoming and outgoing mail and shipments and maintains company key records.
  • Conference Rooms: Prepares conference rooms for meetings and ensures rooms, technology, materials, and refreshments are ready as needed.

Accounting & Administrative Support:
  • Customer Payments: Applies customer payments to outstanding receivables in company ERP system (Vista by Viewpoint).
  • Customer Statements: Prepares and sends monthly customer statements.
  • Accounting Support: Provides general administrative support to the Accounting team, including document organization, data entry, recordkeeping, and other assigned activities.

Employee Travel & Logistics
  • Travel Coordination: Coordinates employee travel, including flights, rental vehicles, transportation, and short- and long-term lodging for employees traveling to projects throughout the United States.
  • Travel Support & Organization: Manages travel changes and cancellations, maintains organized reservations and confirmations, and assists employees with travel needs as project assignments and schedules change.

Employee & Technology Support
  • Employee Support: Assists employees with routine administrative needs, company resources, forms, and general questions.
  • Mobile Applications: Provides basic support with company mobile applications, including logins, access, navigation, and routine troubleshooting.
  • Technology Coordination: Helps resolve routine technology needs and connects employees with the appropriate resource when additional technical support is required.

ARI Store & Employee Merchandise
  • Store Management: Manages the day-to-day operation of the ARI Store through Shopify, including employee orders and company-issued points.
  • Inventory & Restocking: Maintains inventory of ARI-branded apparel, gear, and merchandise and coordinates purchasing and restocking.
  • Distribution & Shipping: Coordinates merchandise distribution and shipping to employees and project locations.

Meetings, Events & Internal Communications
  • Meeting Support: Assists with meeting logistics, including room preparation, technology, materials, food and beverages, and other meeting needs.
  • Company Events: Supports the coordination of company meetings, trainings, employee events, celebrations, and other activities.
  • Internal Communications: Maintains hallway monitors and internal informational slideshows and assists with company announcements and communications as requested.

Administrative & Department Support
  • Executive Assistant Support: Provides administrative support to the Executive Assistant, including scheduling, meeting preparation, reservations, correspondence, and other needs.
  • Special Projects: Supports company projects and takes on additional administrative responsibilities based on business needs.
