Operations CSR & Shipping Document Coordinator

This is a fully remote opportunity for an operations professional who enjoys coordinating complex international shipments and keeping customers, carriers, warehouses, and commercial teams aligned. You’ll manage customer orders from initial entry through final delivery while ensuring that shipping schedules, documentation, and operational requirements are handled accurately and on time. The role combines customer operations, international logistics, export documentation, and freight coordination in a fast-paced environment. You’ll work closely with ocean carriers, freight forwarders, NVOCCs, warehouses, and international customers across multiple markets. Attention to detail is critical, as you’ll manage multiple shipments, deadlines, documents, and potential operational issues simultaneously. This is a hands-on role with meaningful responsibility for maintaining shipment visibility and resolving issues before they impact customers.

Manage customer orders throughout the complete order-to-delivery lifecycle, ensuring information remains accurate and up to date.

Create and maintain Sales Orders, Sales Contracts, order summaries, and other operational records.

Coordinate pickups and deliveries with customers, carriers, warehouses, freight partners, and internal teams.

Manage carrier bookings, shipping cut-offs, vessel schedules, and related deadlines in coordination with freight forwarders and ocean carriers/NVOCCs.

Monitor vessel shipments and railcar movements, including the timely return of empty railcars.

Track warehouse activity and proactively identify risks such as late ingates, missed cut-offs, or container rolls.

Maintain accurate shipment visibility and provide timely status updates to commercial and internal teams.

Monitor shipments from origin through delivery and proactively investigate and resolve delays or operational issues.

Prepare and review international shipping and export documentation, including Bills of Lading (BOL), Certificates of Analysis (COA), Commercial Invoices (CI), and Packing Lists (PL).

Prepare export declarations and Bills of Lading for ocean shipments, ensuring all information is complete and accurate.

Review and interpret Letters of Credit when required to support international transactions.

Ensure shipping documentation is delivered accurately and within required deadlines.

Communicate shipping details, documentation requirements, schedules, and updates clearly to customers and logistics partners.

Support customer onboarding and maintain accurate customer and shipment information.

Manage delivery-related claims and coordinate resolutions with relevant internal and external stakeholders.

Balance multiple shipments, customer requests, documentation requirements, and operational deadlines while maintaining a high level of accuracy.
Requirements

2–3 years of professional experience in international trade, logistics, shipping operations, supply chain, or a related field.

Practical experience managing international shipments and preparing or reviewing export documentation.

Experience working with ocean carriers, freight forwarders, NVOCCs, warehouses, or other logistics partners.

Solid understanding of Bills of Lading, Commercial Invoices, Packing Lists, and related international shipping documents.

Strong professional English communication skills, both written and verbal.

Proficiency with Microsoft Excel and confidence working with operational data and shipment information.

Exceptional attention to detail, accuracy, and document management skills.

Strong organizational and time-management abilities, with the capacity to manage multiple shipments and competing deadlines independently.

Strong problem-solving skills and a proactive approach to identifying and resolving operational issues.

Ability to communicate effectively with customers, carriers, freight partners, warehouses, and internal stakeholders.

Comfortable working independently in a fully remote, international environment.

Experience in the plastic resin, polymer, chemicals, or manufacturing industries is preferred.

Experience interpreting Letters of Credit is a plus.

Experience coordinating railcar and ocean shipments is desirable.

Experience establishing rates or services with third-party carriers is a plus.

A bachelor’s degree in Supply Chain, Logistics, Business, International Trade, or a related discipline is preferred.
