Attorney General Campbell is looking for a highly motivated individual to join her team as a Managing Administrative Assistant in the Constitutional Administrative Law Division (CAdLaw) within the Government Bureau. The Government Bureau represents state agencies and officials in a broad range of civil litigation in state and federal courts.  As part of that effort, CAdLaw defends legal challenges to state statutes and regulations; suits that challenge the implementation of state policies and programs; and suits for judicial review of the decisions of state administrative agencies.

Primary Duties:

  • Accomplish the day-to-day administrative operations of the division and provide administrative assistance to division managers and division generally, including general office support and clerical assistance, across all functions of the division.
  • Review new incoming cases, enter them into OnBase (the Office’s case management system), draft assignment cover sheets, and direct cases to the appropriate division manager for assignment based on case type.
  • Supervise the division paralegals, including coordinating schedule for getting incoming mail and maintaining best practices for division processes.
  • Participate in hiring, onboarding, and training of division support staff.
  • Communicate with clients, attorneys, court clerk’s offices, and members of the public as needed for case intake and management.
  • Communicate with division managers about creating processes for case intake, file retention, and paralegal tasks as needed.
  • Perform, or oversee other support staff’s performance of, the following:
    • Maintain division calendars and related reminders.
    • Facilitate retention and archiving of division files.
    • Assist with opening, reviewing, and scanning incoming division mail.
    • Compile case updates and upcoming hearings for inclusion in weekly email report from Division Chief to division.
    • For certain categories of cases, coordinate with clients on upcoming cases and assign those to AAGs.
    • Work with division paralegals to keep cases up to date in OnBase, including updating deadlines, uploading filings, transferring cases between attorneys, and closing cases.
    • Monitor office supplies and the operation of equipment (e.g. printers, scanner), and order new supplies and coordinate with other parts of the office for equipment repairs as needed.
    • Provide new attorneys with overview of online file storage system and administrative procedures.
  • Perform other duties as needed

Position Requirements:

  • Administrative and legal support experience preferred.
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines.
  • Effective written and verbal communication skills.
  • Excellent analytical skills, attention to detail, and sound judgment.
  • Solution-oriented outlook and the ability to work well as a member of a team.
  • Ability to remain calm, be flexible, and exercise good judgment in a fast-paced environment, including when unexpected, and sometimes time-sensitive, cases come in or tasks arise.
  • Ability to interact and communicate with others effectively and professionally.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook, as well as case management systems such as OnBase, preferred.
  • Prior supervisory experience helpful.

The successful candidate will be able to demonstrate a connection to the people and communities we serve and an interest in supporting a respectful and inclusive work environment.
