As a Clinical Scheduling Coordinator, you will play a critical role in ensuring patients receive timely care by managing provider schedules and coordinating appointments across multiple outpatient clinic locations.

🔹 Coordinate and optimize provider schedules across multiple clinic locations
🔹 Schedule, confirm, reschedule, and manage patient appointments and waitlists
🔹 Align patient scheduling with provider specialties, language needs, and service types
🔹 Monitor daily schedules and proactively adjust for cancellations, no-shows, and coverage changes
🔹 Communicate professionally with patients, families, and staff in both English and Spanish
🔹 Maintain accurate scheduling records within the electronic health record (EHR) system
🔹 Support scheduling KPIs including fill rates, no-show rates, and access to care timelines
🔹 Assist with front office operations, including check-in/check-out and patient coordination
🔹 Verify insurance eligibility, update patient demographics, and collect copays as needed
🔹 Manage inbound calls, messages, and scheduling inquiries in a timely manner
🔹 Support administrative tasks such as document management, records requests, and   patient outreach
🔹 Collaborate with teams to identify and resolve scheduling barriers
🔹 Participate in team meetings, training, and process improvement initiatives
🔹 Float between clinic locations as needed to support operations
🔹 Perform other duties as assigned

✔️ High School Diploma or equivalent required
✔️ 1–3 years of experience in healthcare scheduling, patient access, or medical front office roles
✔️ Bilingual in English and Spanish (required)
✔️ Level 1 Fingerprint Clearance Card (or ability to obtain upon hire)
✔️ Experience supporting multi-site or multi-provider scheduling operations
✔️ Strong organizational, communication, and time management skills
✔️ Ability to thrive in a fast-paced, patient-centered environment
✔️ Proficiency with EHR systems and standard office software

Requirements

✔️ Associate degree or coursework in healthcare administration, business, or related field
✔️ Experience in behavioral health or outpatient mental health settings
✔️ Familiarity with EHR systems such as Epic, Cerner, Athena, or similar
✔️ Experience with insurance verification and patient registration processes
✔️ CPI or similar behavioral intervention certification
