  • Log and distribute all incoming and outgoing mail, packages, deliveries and faxes. Weigh mail and affix appropriate postage. Package outbound shipments efficiently and economically to ensure safe delivery.
  • Complete assigned copy, scanning, printing and binding projects. Restock office machines with paper on a daily basis. Ensure reprographics, office services and satellite supply stations are clean and organized at all times. Attend to all repairs and place service calls as needed.
  • Keep track of kitchen and office supply inventory levels and place orders as needed.
  • Monitor and maintain the conference rooms and visiting attorney offices in excellent condition.
  • Ensure that all equipment is available and working in each room, trash is emptied as necessary, surfaces are clean and supplies are replenished as needed.
  • Set up, test and prepare video conferencing equipment for meetings in a timely fashion, including WebEx meetings. Deliver and set up refreshments in advance of meeting. At end of meeting, break down equipment and clean rooms promptly.
  • Work with the Receptionist to order and set up food for meetings; forward invoices as directed.
  • Provide coverage for the Receptionist’s breaks, days off, etc. as needed.
  • Work occasionally requires more than normally scheduled work hours to perform the essential duties of the position. Drop off mail at the end of each day, including couriered mail and packages.
  • Coordinate shredding of materials, consolidating and ordering service as necessary.
  • Order, set-up and clean for breakfast and lunch meetings.
  • Supply conference rooms and visiting attorney offices.
  • Contact service representative for equipment problems regarding fax machines, copiers, postage meter, coffee maker and water cooler.
  • Maintain neat appearance of office common areas.
  • High school diploma or equivalent
  • 1+ years office services experience, preferably in the professional services industry. 
  • Relies on instructions and pre-established guidelines to perform the functions of the job
  • Ability to organize and prioritize numerous tasks and complete them under time constraints
  • Ability to acquire and maintain a working knowledge of all software programs used in the department
  • Interpersonal skills necessary in order to communicate and follow instruction effectively from a diverse group of attorneys, clients, and staff, communicate professionally by phone, and provide information with courtesy and tact.
  • Ability to work in the Silicon Valley office 5 days a week is required

  • The pay range for this position varies by geographic market. Final compensation will be based on a variety of factors including education, experience, skills, professional background, overall qualifications, and location.  In Silicon Valley, the estimated starting pay is $28.02 - $42.31 per hour (based on a 35-hour workweek), which is equivalent to $51,000 - $77,000 annually.
