  • Confidential administrative support for senior level executives, as assigned, with minimal supervision
  • General administrative support to executives’ direct reports for meeting coordination and initiatives related to employee and community relations and facility-related matters.
  • Back-up administrative support for the Chief Operations Officer (COO), as needed.

Responsibilities

  • Administrative Support
    • Provide calendar management for the coordination of meetings for VP, Operations Oxford, direct reports and Chief Operations Officer (COO) (back-up support as requested).  Interact with internal and external executives and assistants, as well as consultants/vendors. 
      Includes:  checking for availability, sending meeting invitations, obtaining rooms, setting up Teams calls, catering (if within company policy), confirmation of attendance, sending reminders and rescheduling as needed, and providing relevant materials when available. 
    • Maintain executive office files and records; interpret and explain departmental procedures and executives’ requests in response to requests or refer inquiries, as appropriate.
    • Make travel arrangements (domestic & international) within company policy for assigned leaders and support for visitors, as needed.  
      Includes:  booking air, car and hotel; reserving offices/meeting rooms in Revlon facilities; generating itinerary with all contact numbers and information and attaches necessary documentation needed for trip; updates calendar with all information.
    • Create, update and submit expense reports in a timely manner, when requested. 
    • Copy/distribute documents as needed; open and distribute mail; process overnight deliveries.
    • Answer phones and direct all incoming calls to appropriate party promptly and efficiently; take and transmit messages in a professional manner.
    • Type, edit, print and retain emails/documents with attention to detail; independently develop responses to letters and correspondence on behalf of executive, as appropriate.
    • Prepare and edit presentations in PowerPoint and facilitates the sharing of presentations during meetings, as requested.
  • Back-up Administrative Support
    • Provide back-up administrative support for Chief Operations Officer (COO) during primary executive assistant’s vacation, sick time and/or requests for additional support, as needed.
  • Task/Project Management
    • Provide primary support/leadership with internal/external resources on assigned initiatives related to employee and community relations (e.g.  local community events; employee giveaways; uniforms) and facility initiatives (e.g. liaison with cafeteria; vending machine vendors, etc.) to drive a positive work environment and Revlon as an employer of choice.
    • Process and track Purchase Orders, ensuring proper review and approvals and maintenance of records. 
    • Develop news articles and publish monthly Operations employee newsletter for Oxford.  Coordinate with Oxford management and HR on specific site article content and with Executive Assistant for COO on general news articles that can be utilized and common format to utilize.   
    • Prioritize and manage multiple time-sensitive projects simultaneously and follows through on issues in a timely manner; independently follows-up on deliverables due to executive(s), as appropriate.
    • Check deadlines on incoming requests and plans/acts on preliminary tasks to meet objectives.
  • Professional and positive representative of Company
  • Represent the Company in a positive, friendly, and professional manner to both internal and external contacts; receive and direct visitors in a professional manner.
  • Independently perform confidential office/administrative duties with speed, accuracy, and a positive pleasant attitude; create and maintain highest levels of confidentiality when dealing with proprietary information
  • Collaborate with other executive assistants to identify “best practices” and a consistent approach to cross department functions.

The base pay range for this position is $60,000.00 - $75,000.00 / year; however base pay offered may vary depending on skills, experience, job-related knowledge, and geographic location. Certain positions may also be eligible for short-term incentives as part of total compensation.

Employees (and their families) are eligible for medical, dental, and vision benefits. Employees are covered by the company-paid basic life insurance policy and company-paid short-term disability insurance (the benefit commences upon hire and allows for a portion of base salary for up to 26 weeks if you are disabled). Other benefits offered to employees include but are not limited to the following: long-term disability, supplemental life insurances, flexible spending accounts, critical illness insurance, group legal, identity theft protection, etc. Employees are also able to enroll in our 401k Retirement Savings Plan.

Employees will also receive 3 weeks of vacation, pro-rated based on date of hire for the 1st year of employment and twelve paid holidays throughout the calendar year. Vacation will depend on role.
