The Administrative Assistant will provide administrative and general office support to the Groveland facility to ensure smooth and effective office operation and maximum efficiency. In this role, you will schedule and coordinate meetings and appointments, research and compile dates for reports and studies, compose and/or prepare routine and confidential reports and correspondence.
- Monday – Friday, 7am- 3:30pm. Reliable and dependable attendance is an essential function of the position.
- Handle telephone calls, emails, questions, and visitors, providing professional and courteous assistance.
- Plan, file, and prepare various correspondence on behalf of the Groveland facility, ensuring accuracy and timely distribution.
- Maintain calendars, coordinate meetings, including scheduling, sending invitations, preparing agendas, and arranging necessary resources such as meeting rooms and equipment.
- Create comprehensive reports by analyzing and interpreting complex data sets.
- Make travel arrangements for staff members.
- Assist in the preparation and maintenance of department records, ensuring accuracy, organization, and confidentiality.
- Manage and order office supplies, monitor inventory levels and coordinate timely deliveries.
- Coordinate with other corporate groups such as Accounting, Marketing, and Health and Safety to facilitate effective communication and collaboration.
- Assist with special projects as assigned, conduct research, analyze data, and provide project support.
- Evaluate office operations, identify areas for improvement, and make recommendations to enhance productivity and efficiency.
- Assist the manager in planning and implementing department programs, activities, and services as required.
- Handle invoices and purchase orders (POs), ensuring accuracy, obtaining approvals, and processing timely payments.
- Manage and provide necessary maps for water and sewer locates to technicians, contractors, and vendors, ensuring accurate and up-to-date information is available.
- Attend meetings as requested to provide accurate and timely minute taking, including preparation, distribution, and record retention of meeting notes.
- Coordinate Health & Safety related administrative functions, including policy review, SDS tracking, gas monitor maintenance, PPE ordering, training coordination, and recordkeeping.
- Process vendor invoices related to corporate initiatives, ensuring accuracy, appropriate approvals, and timely submission for payment.
- Coordinate uniform ordering, distribution, and tracking to ensure staff compliance and adequate inventory levels.
- Perform other related duties as required, which may include assisting with data entry, conducting research, and providing general administrative support.

- Experience providing administrative support for utilities is preferred.
- High school graduate or equivalent preferred with ability to carry out required tasks.
- Proficiency in Microsoft Office (Word (intermediate), Excel, PowerPoint, and Outlook).
- Excellent verbal, written and interpersonal skills.
- Ability to establish and maintain effective working relationships with employees and the public.
- Ability to work under pressure with competing demands.
- Strong organizational skills with keen attention to detail and the ability to manage competing priorities effectively.
- Successful candidates will be required to complete a background check before employment.
- Valid driver's license.
