The Operations & Executive Support Specialist serves as the vital operational link between executive management, technical teams, and external partners to ensure smooth daily operations.

In this role, you will oversee both Ad Operations (AdOps) and General Operations (GeneralOps) — ensuring campaign execution, diagnosing technical issues, and supporting key growth initiatives. We are looking for a versatile, agile "Swiss Army knife" professional who can seamlessly balance structured operational processes with rapid problem-solving in a fast-growing environment.

Responsibilities

  • Oversee daily AdOps and GeneralOps to guarantee optimal system connectivity and campaign delivery across digital assets.

  • Rapidly diagnose and troubleshoot screen, display, and network connectivity issues using operational flowcharts, escalating complex technical faults when necessary.

  • Address and resolve digital content or playout discrepancies promptly.

  • Identify and rectify issues with offline hardware to maintain maximum network uptime.

  • Manage Out-of-Home (OOH) and digital advertising campaigns end-to-end, ensuring accurate and on-time execution.

  • Review, audit, and validate campaign playout reports for accuracy, client assurance, and strategic operational insights.

  • Review and approve programmatic ad campaigns in compliance with company standards and regulatory guidelines.

  • Coordinate cross-functionally between Sales, Leadership, and external landlords or building managers to execute seamless campaigns.

  • Manage client reporting end-to-end, ensuring full visibility and clear tracking metrics across all active campaigns.

  • Support long-term business projects focused on enhancing operational efficiency, scalability, and automation.

  • Collaborate with leadership to design and deploy improved processes, new toolsets, and workflow automations.

  • Assist with the onboarding of new digital sites, media partners, and CRM system enhancements.

  • Coordinate campaign photography scheduling and manage digital asset storage.

  • Uphold and maintain company standards for operational compliance, safety, and sustainability.

  • Adaptable & Calm Under Pressure: Thrives in a high-growth scale-up environment; capable of reprioritizing tasks quickly without losing composure.

  • Personable Communicator: Builds strong, professional rapport with external landlords, site engineers, and internal teams across email, phone, and Microsoft Teams.

  • Detail-Oriented & Fast-Paced: Comfortable working in a high-expectation setting with tight deadlines while maintaining high accuracy.

  • Collaborative Team Player: Fully engaged with our company culture despite working remotely.

  • Relationship-Driven: Skilled at influencing building partners and external stakeholders to prioritize operational and maintenance needs.

  • Essential: Microsoft Office Suite (Excel, Outlook, PowerPoint), Monday.com, TeamViewer.

  • Desirable: Canva, Salesforce, DoClick (full training will be provided).

  • Bonus: Hands-on experience working within the macOS ecosystem.

Nice to Have

  • Demonstrated experience in operations, campaign management, or technical client-facing support roles.
