Facilities Coordinator (Contractor)

Xaira is an innovative biotech startup focused on leveraging AI to transform drug discovery and development. We are seeking a highly reliable and detail-oriented Facilities Coordinator to support shipping and receiving, facilities operations, and lab infrastructure. This role is critical to maintaining a safe, efficient, and well-functioning environment for research teams. The ideal candidate is proactive, highly observant, and comfortable working across facilities, lab operations, and vendor coordination in a fast-paced setting.

• →Shipping, Receiving, and Logistics
  • →Receive, inspect, and verify incoming shipments; resolve discrepancies and ensure timely delivery to end users.
  • →Prepare and manage outgoing shipments, including courier selection, international documentation, and tracking.
  • →Troubleshoot shipment issues and coordinate with vendors, procurement, and internal stakeholders.
  • →Coordinate and host vendors for deliveries; serve as a primary point of contact for shipping-related communication.
  • →Maintain strong knowledge of shipping procedures and ensure compliance with applicable regulations.
    
    
• →Facilities Operations and Lab Support
  • →Conduct daily walkthroughs to ensure facilities are safe, clean, and fully operational.
  • →Monitor and support core lab infrastructure, including cold rooms, house vacuum, CDA, and gas systems.
  • →Proactively identify and address facility issues early, acting as the first point of awareness for operational concerns.
  • →Support lab setup, equipment installation, and general facility maintenance.
  • →Maintain office, lab, and break room supplies.
    
    
• →Operational Execution
  • →Independently manage tasks and small projects, prioritizing effectively under changing conditions.
  • →Operate equipment such as pallet jacks and table lifts as needed.
  • →Support emergency response needs and participate in on-call rotation for after-hours issues.
    
    

• 3+ years of experience in facilities coordination, lab operations, or a related role.
• Prior experience in a lab-based environment is strongly preferred.
• Familiarity with shipping and receiving processes, including international logistics.
• Working knowledge of lab infrastructure (e.g., gases, vacuum, cold storage) preferred.
• Experience with EH&S practices and basic operational systems/tools is a plus.

• High level of situational awareness with the ability to proactively identify and address issues.
• Ability to prioritize effectively and remain calm in a fast-paced environment.
• Proactive problem-solving with the ability to troubleshoot issues in real time.
• Clear communication and coordination across vendors, lab teams, and stakeholders.
  
  

• Ability to lift up to 50 pounds and perform physical tasks such as climbing, crouching, and lifting.
• Regular use of equipment requiring PPE and adherence to safety protocols.

Compensation:
Hourly Rate of $58-$65/hr

Expected Duration
6 Months, with the possibility to convert to a permanent position
