- Manage and maintain the organization’s HubSpot CRM system
- Optimize CRM structure to improve data organization and workflow efficiency
- Monitor system performance and ensure data integrity
- Provide technical support for company website enhancements, including layout modifications and content updates as needed (our website is hosted by HubSpot).
- Configure and improve HubSpot pipelines, workflows, and automations
- Audit existing HubSpot setup and recommend improvements
- Ensure proper tracking of the patient/customer lifecycle
- Create and maintain custom dashboards and reporting tools
- Build reports that provide insights into marketing, sales, and patient engagement
- Help leadership understand performance metrics through data visualization
- Build and optimize HubSpot automations
- Implement workflow automation to improve operational efficiency
- Support campaign setup and CRM-triggered communications
- Document CRM workflows, processes, and system configurations
- Assist in developing SOPs related to HubSpot usage
- Provide continuous support for CRM updates and improvements
- Troubleshoot system issues and recommend solutions
- Suggest best practices for CRM utilization and automation
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
Requirements

- Experience managing HubSpot Enterprise or advanced HubSpot environments
- Strong knowledge of:
- HubSpot workflows
- Pipeline management
- CRM data organization
- Reporting and dashboards
- Experience setting up automations and CRM integrations
- Strong analytical and problem-solving skills
- Excellent English communication skills
- Ability to work independently and provide proactive recommendations
Requirements
~1 min read- Experience supporting healthcare, wellness, or medical practices
- Background in CRM auditing and system optimization
- Experience collaborating with marketing or growth teams
- Familiarity with sales tools and lifecycle reporting in HubSpot
- Contracted Hours per Week: 20 Hours
- Scheduled Working Days: Monday through Friday
- Daily Working Time: EST(Flexible schedule, aligned with client needs)
Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
- Contractors will operate under a Master Services Agreement and a Statement of Work
- This is not an offer of employment; contractors are not employees of 20four7VA or any client
- All compensation is processed through 20four7VA according to the terms of the engagement
