We're looking for an Executive Assistant & Office Coordinator to support our COO and CMO and keep our San Francisco office running. This role goes beyond traditional executive support: you'll own office operations, in-office events, and culture-building across our locations, reporting to our Executive Business Partner and working alongside them as the second EA on the team.
Manage complex calendars, scheduling, and meeting logistics for the COO and CMO
Draft and organize communications, presentations, and meeting materials
Act as a trusted gatekeeper and thought partner, anticipating needs and resolving issues proactively
Coordinate travel arrangements and help the executives with expenses when needed
Own day-to-day operations of the San Francisco office, from supplies and equipment to facilities and vendor relationships
Provide remote operational support for the New York and Salt Lake City offices as needed
Plan and execute in-office events, team activities, and company celebrations
Coordinate logistics for offsites, all-hands meetings, and cross-functional gatherings
2–4 years of experience in an executive assistant, office coordinator, or administrative role (or equivalent experience demonstrating the right capabilities)
Experience managing calendars, travel, and meeting logistics
You take ownership: you don't wait to be told what to do, you see what needs to happen and make it happen
You're highly organized with strong attention to detail, and you handle sensitive information with discretion
You communicate clearly and professionally, in writing and in person
You're energized by creating great experiences, whether that's a seamless executive meeting or a memorable team event
Event planning or coordination experience is a strong plus
You're curious and motivated to learn new tools — you've experimented with AI in your work or on your own and you're excited about what's possible
