Position Overview:
We are seeking an experienced Administrative Assistant to provide high-level support to executive leaders and manage a diverse range of projects and administrative tasks. This role is responsible for planning and coordinating meetings and events, proofreading materials and presentations, and ensuring tasks are completed efficiently, accurately, and with high standards of quality.

Key Responsibilities:
  • Plan, schedule, and coordinate executive meetings and events, including managing logistics, arranging vendors, and handling on-site needs.
  • Proofread and format reports, board materials, and presentations for leadership review.
  • Support multiple executives and directors by managing requests, documentation, financial workflows, travel expenses, and general communications.
  • Utilize digital tools for document creation, records management, scheduling, and workflow optimization.
  • Balance multiple concurrent assignments in a fast-paced, high-energy team environment.
  • Conduct research, coordinate communications, and assist with special projects and initiatives.
  • Exercise professional judgment, proactively anticipate needs, and drive process improvements.
  • Maintain strict confidentiality and discretion with sensitive information.
Qualifications:
  • Associate degree preferred (business administration or related field), or equivalent experience.
  • Several years of experience supporting senior management and executives, ideally in dynamic, high-paced environments.
  • Exceptional written and verbal communication skills with excellent proofreading ability.
  • Strong event planning and coordination skills.
  • Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, Visio, PowerPoint), SharePoint, and project management tools.
  • Impeccable attention to detail and organizational skills.
  • Professional demeanor and ability to work effectively with individuals at all levels.
  • Ability to anticipate needs, solve problems, and manage competing priorities.
  • Experience in financial institutions, housing, or government organizations is a plus.
  • Ability to work onsite and visit various office locations as required.
