We are looking for a proactive and detail-oriented Administrative Assistant to join our Maintenance team.
Key Responsibilities:
- Receive and record maintenance requests, ensuring accurate and detailed information is provided.
- Update and maintain information records.
- Conduct a thorough assessment of requests and route them to the appropriate personnel.
- Efficiently plan and organize technician routes.
- Coordinate schedules and plan work orders to ensure optimal execution efficiency.
- Monitor the progress of ongoing maintenance tasks, ensuring deadlines are met.
- Negotiate deadlines.
- Propose and implement improvements to the maintenance coordination process for increased efficiency and customer satisfaction.
- Ensure excellence in customer service.
Requirements:
- Previous experience in administrative roles, preferably in Property Management, Facilities, or related fields.
- Strong organizational skills, attention to detail, and ability to handle multiple priorities.
- Excellent communication skills for interaction with suppliers, customers, and internal teams.
- Basic to intermediate knowledge of Excel and management platforms (e.g., Hive, Pipefy, Fixflo, Freshdesk).
- Proactivity, problem-solving mindset, and ability to work independently and collaboratively.
- Advanced English (mandatory)
